Founded in 2006, Capitol Language Services, LLC is an independent and local organization that creates educational, affordable, safe, and high-quality environment for children in after school.

Capitol Language Services' (CLS) main office is located in DC NW area, near Tenleytown. Our afterschool programs operate in the Northwest and Southeast areas. The Office Assistant/HR Support position will support the executive office providing administrative support to the human resources team including record-keeping, file maintenance and Human Resources Information System (HRIS) entry.

This position is ideal for a recent college graduate.

Job Summary: We are looking for a dedicated and organized Office Assistant to support our administrative functions, with focus on HR. In this position, you will provide essential support to the HR department in onboarding new hires and help coordinate performance evaluations for staff within the school environment. The ideal candidate will have strong communication skills, a proactive attitude, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

Administrative Support:

Provide general office support, including answering phones, managing correspondence, and greeting visitors.Maintain electronic filing systems and ensure documents are organized and accessible.Assist with scheduling meetings, managing calendars, and coordinating office logistics.Perform clerical tasks such as photocopying, scanning, and mailing documents.HR Support:

Assist with the onboarding process for new hires, including scheduling orientation sessions and preparing onboarding materials.Conduct initial I-9 verifications and ensure all required documentation is completed and filed appropriately.Support the HR team in tracking new employee progress through the onboarding checklist.Facilitate introductions with the team and provide new hires with information about company policies and procedures.Provide support with the DCPS clearance steps and provide support to employees as needed with the process, while maintaining strict deadlines for completion.Help coordinate the performance evaluation process for school staff, including scheduling meetings and distributing evaluation forms.Assist in collecting and organizing evaluation feedback from staff and management.Maintain records of performance evaluations and ensure confidentiality of employee information.Cross-Departmental Collaboration:

Work closely with various departments to coordinate training sessions and other onboarding activities.Assist in organizing company events and employee engagement activities as needed.Required Skills/Abilities:

Strong verbal and written communication skills.Excellent interpersonal and customer service abilities.Exceptional organizational skills with a keen attention to detail.Ability to prioritize tasks and work effectively in a fast-paced environment.Basic understanding of HR principles and onboarding processes is a plus.Proficient in Microsoft Office Suite and other office software.Education and Experience:

Associate's Degree required or bachelor's degree (preferred).At least 2 years of previous office experience is required; experience in HR or onboarding is a plus.Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
