Administrative Support Specialist III
to support our United States Department of State (DOS) Diplomatic Technology (DT - formerly IRM) client in
Washington, DC .
The
Administrative Support Specialist III
will provide a wide range and scalable administrative support services to support DT. This individual will directly support the DT/EI/IM team.
DUTIES AND RESPONSIBILITIES:
Administrative Skills:
Proficiency in office software (e.g., Microsoft Office Suite: Word, Excel, Outlook, PowerPoint).Strong organizational skills with the ability to manage multiple tasks and prioritize responsibilities.Knowledge of office equipment, including copiers, fax machines, and phone systems.Communication Skills
Excellent verbal and written communication skills.Customer service-oriented with a professional demeanor when interacting with staff, clients, and vendors.Time Management and Multitasking
Ability to handle multiple tasks simultaneously and manage time effectively to meet deadlines.Flexibility to adapt to changing priorities and schedules.Problem-Solving Skills
Ability to proactively identify and resolve office-related issues with minimal supervision.Detail-oriented with a focus on accuracy and quality of work.Financial and Record-Keeping Skills
Experience with basic bookkeeping tasks, including simple expense tracking and budget management.Ability to handle sensitive information discreetly and maintain confidentiality.Office Coordination and Scheduling
Proficiency in scheduling meetings, maintaining calendars, and organizing events as needed.Ability to manage office supplies, ordering, and inventory control.Technical and Systems Knowledge
Familiarity with office management systems.Experience with online scheduling tools, such as Google Calendar or Microsoft Teams, preferred.Team Collaboration
Strong interpersonal skills to work well in a team and support staff as needed.Ability to assist in onboarding new hires and maintaining office culture and morale.Dependability and Professionalism
Punctual and reliable with a strong work ethic.Maintains a professional appearance and a positive attitude in all interactionsEDUCATION AND EXPERIENCE:
High school diploma or equivalent required; associate or bachelor's degree in business administration or related field preferred.A minimum of two (2+) years of experience in an office administration, clerical, or receptionist role.Proven knowledge of office administrative supportHighly organized, detail-oriented, and capable of managing sensitive information with confidentiality and integrity.Demonstrated experience in taking notes, scheduling meetings, and appointments, and provide assistance to visitors.Proficiency in the entire Microsoft (MS) Office Suite, including but not limited to Word, Excel, PowerPoint, Visio, Outlook, and ProjectDemonstrated experience in problem solving and attention to detail.Strong organizational and planning skillsExcellent time management skills and ability to multi-task and prioritize work.Functional knowledge in business processes, office management, computer applications, and customer servicesExcellent written and verbal communication skillsRequires an active Security ClearanceBENEFITS:
