TJFACT is seeking to hire an
Administrative Support Specialist
to support our United States Department of State (DOS) Diplomatic Technology (DT - formerly IRM) client in
Washington, DC .
The
Administrative Support Specialist
will provide a wide range and scalable administrative support services to support DT. This individual will directly support the DT/EI/RDTC team.
Note - this role is a 6-month temporary position.
DUTIES AND RESPONSIBILITIES:
Schedule meetings and escort visitors to our buildings.Assist visitors and new/departing staff with administrative tasksTrack traveler Visa process and update our MFT tracking systemManage RDT Calendar including events coordination, office activities/meetings.Take notes for meetings and callsAnswer routine correspondence and calls, pointing customers to open ticket or POCPerform routine data entry, reformattingPrepare Time and Attendance reportsOrder supplies for RDT Front Office including paper and printer cartridgesUse Department online tracking systems like ILMSPerform basic bookkeeping for allocated budget and ordering routine itemsTrack and keep GOV maintenance and travel logsBackup the program assistant for processes around travel including E2 system.Updating spreadsheets and other data entry tasks; Creating email templatesAssist in looking at RDT procedures and identifying means to streamlinePerform other administrative duties as assigned.REQUIRED QUALIFICATIONS:
Years of experience and Educational Requirements4 to 7 years of directly related technical experience.High School Diploma
Proven knowledge of office administrative supportHighly organized, detail-oriented, and capable of managing sensitive information with confidentiality and integrity.Demonstrated experience in taking notes, scheduling meetings, and appointments, and provide assistance to visitors.Proficiency in the entire Microsoft (MS) Office Suite, including but not limited to Word, Excel, PowerPoint, Visio, Outlook, and ProjectDemonstrated experience in problem solving and attention to detail.Strong organizational and planning skillsExcellent time management skills and ability to multi-task and prioritize work.Functional knowledge in business processes, office management, computer applications, and customer servicesExcellent written and verbal communication skillsActive Security ClearanceBENEFITS:
