Who We're Looking For
We are looking for a motivated and detail-oriented Operations Specialist to oversee and enhance our day-to-day operations, ensuring they run seamlessly. This role is ideal for a proactive problem-solver with a passion for optimizing processes, collaborating across departments, and supporting a high-performance team. The Operations Specialist will play a critical role in supporting both the administrative and operational functions of our organization.
This role could encompass overseeing one small property in the portfolio or working with a newer manager, in addition to roving to properties requiring an extra set of hands. We want for this person to be the first line in supporting a growing team, assisting in training and development and making sure that processes are understood and followed by all, working closely with the Director of Property Management on these important responsibilities.
Responsibilities
Administrative / Operational Support
Provide ongoing support for daily operations and perform various administrative tasks as needed.Ensure adherence to onboarding procedures for new properties, ensuring all protocols are followed and completed.Serve as the primary contact for software-related questions (Yardi, check scanners, Mobile Maintenance, CRM, etc.), providing assistance to employees as needed.Monitor and ensure operational tasks (subscriptions, software updates, etc.) are functioning correctly at all sites.Maintain organized records and documentation for each property, including lease agreements, resident handbooks, and vendor contracts.Train team members on property management software and tools for tenant management, accounting, and reporting.Encourage team participation in training workshops and industry webinars to stay informed of best practices and trends.On-going review of company processes and recommendations to Director of Property Management with any changes. Assist with training on processes, ensuring that managers understand fundamentals, processes are followed by all and the team has clear understanding.Leasing Support
From time to time, it might be necessary to assist in leasing processes, including reviewing applications and conducting tenant screenings to ensure a high-quality resident experience.Compliance and Regulations
Ensure all properties comply with local, state, and federal regulations.Assist in audit preparation and coordinate inspections to maintain compliance standards.Onboarding Coordination
Facilitate smooth onboarding for new multifamily communities, including conducting property assessments, coordinating staff training, and implementing system processes.Collaborate with leasing, maintenance, and finance departments to ensure a cohesive and efficient transition.What We Offer

Requirements
Bachelor's degree in Business Administration, Hospitality Management, or a related field preferred; equivalent experience in property management will also be considered.Proven experience in property management or multifamily operations.Proficiency in Yardi and CRM systems, with the ability to provide software guidance and training to team members.Strong organizational and project management skills with the ability to prioritize and manage multiple tasks effectively.Excellent interpersonal and communication skills, capable of engaging with various levels of management, leadership and potentially ownership groups.A proactive approach with a strong ability to identify and resolve operational challenges.
