The Executive Assistant (Office of CEO) provides support and assistance to the CEO of Jacksons. This is a highly visible role that handles a wide range of administrative, executive, and personal support-related tasks involving clerical, administrative functions, property management, scheduling, travel arrangements and personal and work-related bookkeeping tasks. Must be a tenacious taskmaster with extremely high attention to detail and the ability to ensure effective use of time and productive interactions with others. This position is often aware of confidential information and requires effective communication skills, diplomacy, discretion, and good judgement, as well as knowledge of the organization to effectively facilitate scheduling and coordination of other tasks.

As the Executive Assistant to the CEO, you will be a vital part of our executive team, providing high-level support to ensure the CEO’s day-to-day operations run smoothly and efficiently. This role requires a proactive, highly organized individual with exceptional communication skills and the ability to manage multiple priorities with discretion and accuracy.

What will I do as an Executive Assistant (Office of the CEO)?

• Provide accurate, organized, and efficient administrative support to the CEO of the company, which includes, but is not limited to, scheduling of meetings and appointments, logistics; preparation and distribution of board meeting agenda and materials, taking and distribution of accurate meeting minutes, coordination of ordering food and supplies as needed and various other administrative tasks as required.

• Organize the Executive’s work life and provide personal administrative support.

• Provide support for activities, to include managing the schedule/calendar (Outlook), making travel arrangements, screening, and handling telephone communications, greeting, and directing visitors, and dealing with administrative problems and inquiries as appropriate.

• Prepare written correspondence and maintaining accurate files and records, including meeting minutes.

• Coordinate with others on various property management responsibilities, including coordination of property cleaning, maintenance, scheduling occupancy and invoicing.

• Complete special projects as assigned.

• Other duties as assigned.

• A Bachelor’s degree or equivalent education and experience

• Excellent written and verbal communication skills

• High-level problem-solving skills with the ability to prioritize.

• Must have Intermediate to advanced knowledge Microsoft Office suite, including Excel.

Physical Requirements:

While performing the duties of this job, the employee is frequently required to stand, walk, bend, and twist; use hands and fingers to handle or feel objects and controls; reach with hands and arms; climb or balance; stoop, kneel, or crouch. Must frequently lift and/or move up to 20 pounds. Environmental conditions include heat, cold, allergen, noise, and fume/chemical/odor exposure from gasoline and cleaning chemicals.
