This job was posted by : For more information, please see: The Executive Administrative Assistant provides administrative support to the Executive Office and Facilities Manager and is responsible for assistance to the Board Directors, CEO, and Executive Staff. The duties performed are often highly confidential and/or sensitive in nature. Essential Functions Greet guests and visitors serving as the initial point of contact for office and those in the Executive Office. Serve as recording secretary at Board of Directors Meeting, Annual Membership Meeting, and other board meetings as needed. Serves as the liaison with the Board of Directors and Executive Team to exchange information. Creates and produces monthly board packages, committee reports, and board presentations. Prepares, maintains and disseminates correspondence, reports for the CEO, Executive Team, and Board of Directors, to include agendas, minutes, and committee reports. Maintains copies and permanent records for the Board of Directors. Responsible for the arrangements of the Annual Membership meeting and Strategic Planning Retreat, as well as the planning for other events as needed, including scheduling, sending reminders, and organizing catering when necessary. Composes, organizes, and prioritizes confidential correspondence, memos, emails, and phone calls. Assists in scheduling and/or arranging appointments, business trips, conferences, and expense reports for Board of Directors, volunteers, and Executive Team. Sends timely follow-up requests on behalf of the Executives, helping to ensure established deadlines are met. Maintains Board/Volunteer subscriptions and memberships current as well as other necessary subscriptions for the Credit Union. Maintains office supplies inventory for the Executive Office area, by checking stock to determine inventory level; anticipating needed supplies, evaluating new office products, placing and expediting orders and verifying receipt of supplies with Facilities Technician. Answers telephone requests and assists to resolve questions to appropriate individuals as received on behalf of the Executive Team. This may include message taking and coordination of follow through. Assists in organizing and coordinating community credit union activities, staff celebrations, birthdays, anniversary, and thank-you cards. Represents Dover Federal Credit Union at community and business events. Develops an understanding of Dover Federal Credit Union, philosophy, organization, policies, and operational procedures.
