Vendor Relations Specialist Key Responsibilities:
Vendor Management:
Identify, evaluate, and select vendors based on service, quality, and price.Negotiate contracts and agreements to secure the best terms for the company.Develop and maintain positive relationships with vendors to ensure a high level of service.Monitor vendor performance and conduct regular reviews to ensure compliance with contractual terms and company standards.Address and resolve any vendor-related issues or disputes promptly.
Contract Management:
Draft, review, and manage contracts with vendors.Ensure all contracts are up-to-date, legally compliant, and stored appropriately.Work with the legal team to address any contractual issues or amendments.
Procurement:
Coordinate the procurement process, including requisitions, purchase orders, and approvals.Track and manage inventory levels to ensure timely replenishment of supplies.Analyze purchasing trends and develop strategies to optimize procurement processes and reduce costs.
Collaboration:
Work closely with property managers and maintenance teams to understand their needs and ensure vendor services meet those needs.Coordinate with the finance department to ensure timely payment of vendor invoices.Communicate effectively with internal and external stakeholders to ensure alignment and transparency.
Reporting:
Maintain accurate records of vendor transactions, contracts, and performance metrics.Prepare and present reports on vendor performance, cost analysis, and procurement activities.Provide recommendations for improving vendor relations and procurement processes.
Qualifications:Bachelor's degree in Business Administration, Supply Chain Management, or related field.3-5 years of experience in vendor management, procurement, or a similar role, preferably in the property management industry.Strong negotiation and contract management skills.Excellent communication and interpersonal skills.Proficiency in Microsoft Office Suite and vendor management software.Ability to multitask and prioritize in a fast-paced environment.Strong analytical and problem-solving abilities.
