Summary

The Administrative Assistant provides essential clerical and office support for the smooth day-to-day operations of Davidson Academy Preschool. This role facilitates effective communication, maintains organized records and files, and ensures the front office creates a warm, welcoming environment for students, families and visitors.

Reports To : Preschool Director

Key Responsibilities :

Reception & Front Office ManagementGreet and assist all parents/visitors with a friendly, service-oriented demeanorAnswer incoming phone calls, emails, and general inquiries professionallyMonitor and respond to general preschool email inbox communicationsReceive, sort and distribute mail/deliveries dailyMaintain organized front desk workspace and attractive reception area

Administrative SupportType and prepare correspondence, forms, reports and other materials as neededCoordinate substitutes for teachers who are unable to attend work.Update and maintain accurate student records, databases and filing systemsOrder and manage inventory of office suppliesSchedule appointments, meetings and organize Director's calendarMake outgoing phone calls to communicate with parents as directedAssist in planning logistics for special preschool events and programs

General Office DutiesPerform daily opening and closing duties for the main preschool officeMonitor security cameras/cameras and door access systemHandle petty cash transactions, basic bookkeeping and accounting supportSetup AV equipment and make copies/scans as neededSupervise and monitor students waiting in main office areaProvide general office clerk duties, errands and special projects as assigned

Qualifications:High school diploma or equivalent required; college coursework a plusPrior administrative/office experience in a school or related setting preferredStrong computer skills with proficiency in Microsoft Office SuiteExcellent communication abilities, both written and verbalOutstanding organizational skills and attention to detailProfessional, friendly demeanor for interacting with young children and familiesCommitment to Christian values and enthusiasm to support the school's mission

Salary Description

$15 - $20/hour
