JOB DESCRIPTION AND POSITION REQUIREMENTS: Penn State Mont Alto is seeking a part-time administrative support assistant for the Office of Academic Affairs.
In this role, you will handle inquiries from students, faculty, staff, University Park personnel, and others, communicate information, directions, policies, decisions, and requests, to students, faculty, and others, and ensure timely follow-up. In addition, you will act as the liaison with various academic and administrative offices, deans, department and division heads and University College associate deans and staff. Responsibilities include maintaining calendars, composing correspondence, coordinating special events, conferences, and completing other administrative functions as required.
Duties: Serve as initial contact person for Academic Affairs. Assist in handling inquiries from students, faculty and staff which includes academic integrity concerns. Maintain DAA's and ADAA's (Director of and Assistant Director of Academic Affairs) calendar and prepare correspondence Assist in the planning and coordination of campus events, meetings and gatherings which includes scheduling, reservations, catering, etc. Assist with preparation of special projects, reports, surveys, grant proposals, strategic plans, and directories Assist with expense reports and purchasing which includes processing requests, placing orders and tracking orders. Oversee online SEEQ (Student Educational Experience Questionnaire) process for campus. Serve as SEEQ representative for the campus. Collect FARs (Faculty Activity Reports) and prepare materials for faculty evaluations. Coordinate and maintain ongoing peer evaluation records and student evaluations of faculty processes. Assist search committees in the recruitment/hiring process. Coordinate interviews with committee members. Assist DAA and ADAA to initiate hiring process in Workday. Assist with compensation calculations and Workday processing for faculty before sending to Finance for review. Assist with the Promotion and Tenure process by working with faculty and DAA to assemble confidential and complex dossiers for review. Attend workshops on promotion and tenure. Process all paperwork related to visiting scholars program. Other duties as assigned
Proficiency with Microsoft Office Suite is required and familiarity with SAP Concur and Workday are preferred.
