SUMMARY: The Human Resources Data Entry Assistant Temp is responsible for the day-to-day data entry, coordination and administration activities related to compliance and general HR administrative duties. The individual should be very competent with enter in data accurately and auditing information entered daily, weekly or monthly.

ESSENTIAL FUNCTIONS:

Create and update spreadsheets with employee data and assist with HR Audits.

Manage email ticket portal and distribute emails to the appropriate HR team member.

Managing and coordinating schedules for the HR Department.

Plan, coordinate, manage and communicate all HR Department Celebration and events (Birthdays, Anniversaries, holiday, etc.).

Organize and clean HR Shared Drive

Data enter all related items for Payroll System before any implementation and as needed.

Process filing coping, printing, etc.

Review and distribute all mail, Fed Ex deliveries, etc.

Report findings of inquiries, complaints and employee satisfaction to applicable management when necessary.

Support Headquarters when Executive Assistant is out of office.

Ensure that all employee work hours, leave request and overtime are recorded accurately.

Responsible for entering and COVID related data into Covid Vaccination Tracker Spreadsheet and Qualtrics, related to government regulations.

Safeguards confidentiality of the medical records and complies with all local, state, and federal laws pertaining to medical records. Assures compliance with all HIPAA regulations concerning use, retrieval, storage and sharing of medical records.

Other duties as assigned.

Ability to multi-task.

Works well independently and with other department members.

Excellent attendance and punctuality.

EDUCATION / EXPERIENCE

High school diploma or equivalent required.

Associate’s degree in human resources or related field, or equivalent experience, required.

1 to 3 years of human resources and office administration required.

Adheres to compliance policies.

Constantly strives to achieve excellence in day-to-day operations of respective department.

Works collaboratively with all members of management to resolve departmental and organizational challenges expeditiously, economically, professionally and with minimum disruption to the practice.

Experience working in a multi-function, multi-geography environment preferred.

SUPERVISORY RESPONSIBILITIES:

The Human Resources Data Entry Assistant has no supervisory responsibilities.

LANGUAGE SKILLS

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
