Onboarding Specialist
to join our dynamic Recruiting team in Reston, VA and provide a world-class onboarding experience for newly hired employees.
Hybrid role
- will work 3 days onsite at our Reston office (2 days telework).
As an Onboarding Specialist, you are the primary point of contact for and provide critical support to candidates, hiring managers, and internal business stakeholders to provide a positive onboarding experience for newly hired employees. In this role, you are responsible for ensuring timely execution and completion of a seamless workflow for each new employee. This role provides a great opportunity for someone who is interested in growing their career in recruiting or human resources.
Responsibilities:
Pre-onboarding/Onboarding
Confirm start dates with new hires for any TBD offers.Move candidates to hired in ATS once start date is established.Submit tickets to Employee Center for any new hire start date changes.Update candidate profiles in the ATS.Assist new hires with any technical issues with onboarding.Send new hire welcome email with first day details and onboarding next steps.Coordinate new hire orientation; send communication to new hires.Interface with pending hires, Recruiters, Hiring Managers, Human Resource, and other functional areas within Shared Services.Background/Reference
Initiate new hires for employment background checks and review results.Obtain additional documents needed from candidates when necessary.Interface with internal security team on pending hires going through clearance process.Escalate red flags to TA Director for review and next steps decision.Keep candidates warm while pending government background investigation, as well as other employment contingencies.Complete pre-employment reference checks.Confirm drug screen outcome with Human Resource Business Partner.Submit all offer rescind requests; communicate with candidates.Contract Transitions
Assist with contract transitions: attend kickoff meetings, partner with TA Manager to capture incumbents, generate and extend offers; incumbent communication.Participate in open houses and/or hiring events related to contract transition.Manage the offer acceptance process; submit employment background checks; review background investigation results; and move incumbents to hired in ATS.Requirements
Education/Experience:
Minimum of 2 years of relevant work experience as an onboarding specialist or similar HR role.Bachelor’s degree in human resources management or equivalent; additional years of relevant work experience in lieu of college degree.Requirements:
Familiarity with HR systems, applicant tracking systems such as DayForce, ADP, iCIMS, Taleo, Workday, etc.Proficiency in Microsoft Office.Good understanding of Human Resources administration and Talent Acquisition processes.The ability to handle sensitive and confidential information.Excellent verbal and written communication skills and customer-oriented mind-set; ability to work with all levels of professionals.Detail-oriented; ability to prioritize workload and provide timely follow-up and resolution.Team player and adept at collaboration in a virtual environment.Ability to work effectively in a fast-paced environment.Ability to troubleshoot, identify improvements, and make simple decisions independently.Adaptability to take on ad hoc projects when necessary.Ability to travel for various events (team meetings, job fairs, contract transitions).Must be able to commute to Reston, VA office.Must be a US Citizen.
