The incumbent will perform diverse administrative and staff support duties for the Student Life department, requiring knowledge of college policies, procedures, and departmental operations. The individual will assist with data collection, analysis, and preparation of reports, charts, budgets, and presentations. Additionally, the incumbent will coordinate schedules, meetings, travel, and events, while managing routine correspondence and inquiries. The individual will utilize basic skills in word processing, spreadsheets, and graphics software, working closely with senior personnel to ensure smooth administrative operations.

Characteristic Duties and Responsibilities

Support student engagement:

Perform administrative tasks to attract, retain, and progress students.

Provide administrative support:

Handle data entry, word processing, filing, composing routine correspondence, greeting and assisting visitors, directing inquiries, answering phones, scheduling appointments, maintaining records, and ordering supplies and coordinating equipment repairs.

Manage records and correspondence:

Respond to correspondence, edit and proofread documents, maintain financial, personnel, gift, and student records and databases, and update them as necessary.

Perform reception and coordination duties:

Manage front desk reception, coordinate all aspects of advisory committees and meetings from start to finish, and provide direct support for various department initiatives.

Track budgets and prepare reports:

Monitor budgets, compile and analyze data for reports or presentations, and prepare charts, graphs, and tables as needed.

Audit and process timecards:

Review timecards for accuracy, communicate errors or issues to leadership, and ensure compliance with organizational guidelines.

Coordinate operational logistics:

Prepare work orders, process requisitions, and monitor expenditures; manage travel arrangements; support faculty and staff searches; assist with student assignments, conferences, and meetings; and address questions about routine policies.

Draft and manage documentation:

Prepare correspondence, memos, minutes, reports, agendas, and other complex or confidential documents; compose original correspondence and compile factual reports requiring procedural knowledge.

Maintain and analyze data:

Track and maintain complex statistical reports, design formats for charts and graphs, manage electronic data exchanges, and run and interpret CROA reports.

Support procurement and facilities:

Enter and monitor purchase requisitions and room requests, maintain office supplies and equipment, and ensure compliance with college guidelines.

Operate office equipment:

Use personal computers, calculators, photocopiers, fax machines, and other office tools to support daily operations.

Handle communication and mail:

Receive, prioritize, and distribute mail; respond to inquiries orally and in writing; and exercise discretion in releasing departmental information.

Other duties:

Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications

Required Education & Experience

High School Diploma with at least one (1) year of postsecondary coursework and a minimum of one (1) year of office experience.

Thorough knowledge of business English, spelling, punctuation and composition. Thorough knowledge of modern business office practices, procedures and skill in their applications.

Knowledge of and proficiency in the use of a personal computer, computer applications and software such as Word, Excel, Electronic Mail, etc.

Ability to keep complex records, to assemble and organize data, and prepare reports from such records.

Ability to compose a wide variety of correspondence without specific instructions.

Ability to take and transcribe dictation accurately.

Ability to establish and maintain effective working relationships with all levels of other staff, employees, students and the public.

Ability to maintain confidential information and communicate effectively about sensitive issues through both oral and written means. Ability to work under stress and pressure.

Supplemental Information

Start Date

This position supports student life is available immediately, depending on start date position may not be benefit eligible.

End Date: June 30, 2025 (Limited Term Employment - LTE).

Hours

The work schedule is Monday to Thursday from 7:45 AM to 6:00 PM, Friday from 7:45 AM to 4:00 PM, with occasional Saturdays as required.

Salary

Salary Salary is listed to the midpoint of the salary range and are determined by years of experience credit and internal salary equity.

HEALTH INSURANCE:

MATC offers a choice between two medical insurance plans. See below for plan types:1- UMR High Level PPO2- UMR Low Level PPO

Note : All medical plans include Prescription Drug benefits at no additional costs to employees.

DENTAL INSURANCE:

MATC offers a traditional group dental plan through Delta Dental.

Annual maximum per covered person is $2,500; plan covers preventive, routine, restoration, and orthodontics for dependents up to age 19.

GROUP TERM LIFE INSURANCE:

MATC offers group life insurance benefits through Symetra Provident Insurance with active assignment and is fully paid for by the College. The amount of insurance is $15,000. The benefit is doubled in the event of accidental death.

RETIREMENT BENEFITS:

If you are employed for greater than 12 months and meet the minimum hours requirement for participation in the WRS pension system, you will be notified of your eligibility. The College currently pays the full cost of the employer contribution (6.9%), and the employee pays the full part of the employee contribution of 6.9% of salary. There is a five year vesting period requirement in order to qualify for any employer contributions made on the employee's behalf.

FLEXIBLE SPENDING PLANS:

MATC offers eligible employees the opportunity to participate in both Health Care and Dependent Care flexible spending accounts administered through UMR.

SICK LEAVE BENEFITS:

Sick leave hours granted based on hours worked in summary from 8/15 of previous year through 8/14 of current year. The maximum hours accumulation is 640 hours.

VACATION BENEFITS:

Vacation hours granted based on hours worked summary from 3/15 of previous year through 3/14 of current year (Not available for Instructors)

PAID HOLIDAYS:

MATC offers paid/flex holidays based on position.
