Job Summary

The Natural History Museum of Utah ( NHMU ) is seeking three staff members to form a new team that will coordinate the work of a dynamic group of nearly 500 staff and volunteers, spread across a variety of Museum departments. As part of the implementation of one of our most important strategic goals, NHMU’s Administration Department is expanding to better facilitate the recruitment, hiring/onboarding and positive workplace experience of our paid staff and volunteers. Work assignments among the three coordinators will include unique as well as overlapping responsibilities.

Responsibilities

Essential Functions for all three coordinator roles:

Administer daily operations and coordinate activities related to staffing.

Develop and implement program goals and objectives.

Monitor program quality and effectiveness and research improvement methods.

Advise staff and others regarding policies, goals and related technical issues.

May assign, direct and review work of support staff.

Problem Solving

Volunteer Coordinator

The Volunteer Coordinator is the main point of contact for all current and prospective volunteers at NHMU , and will be involved in all programming related to volunteers at the Museum. Responsibilities include:

Volunteer recruitment and placement within the Museum

Volunteer tracking system management and training

Onboarding and orientation support

Programs, events, and other efforts for volunteer recognition and retention

Volunteer communications

Volunteer Board support and liaison

Volunteer Lounge management

Professional Development & Internal Communications Coordinator

The Professional Development & Internal Communications Coordinator will be responsible for the development and implementation of professional learning opportunities and professional advancement experiences for all NHMU staff. This role will also focus on internal Museum communication efforts as they relate to staffing projects.

Responsibilities include:

Training & Development Projects

Learning Management System software management

Department specific training delivery support

Monthly Museum-wide trainings

New staff orientation content development support

Track staff training

Museum newsletter

Internal Museum training & opportunities communication & promotion

Staff & Volunteer recruitment support

Orientation facilitation

Staff recognition programming

Volunteer/prospective volunteer communication

Hiring & Data Coordinator

The Hiring & Data Coordinator will manage the hiring, onboarding, offboarding, and other data management processes for all new volunteers and staff at the Museum. This includes working closely and communicating with many stakeholders including hiring managers, new hires, Museum administrators, and our University of Utah Human Resources and Payroll liaisons.

Responsibilities include:

Job posting management

Volunteer tracking system support

Hiring, onboarding, offboarding management

2x monthly pay period close & payroll coordination

Reclassifications & annual increases

Background checks

Track staff training

Volunteer affiliate status & Ucards

Performance management support

Orientation facilitation

Minimum Qualifications

Bachelor’s degree (or equivalency) in a related field plus one year directly related experience or equivalency. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience. (Example: bachelor’s degree = 4 years of directly related work experience.)
