Job Summary:
Supports accounting and project management teams through coordination of preparation, tracking, and execution of construction contracts, including project document management, job-cost accounting, and maintenance of related records.
Main Responsibilities:
Embrace the Company's safety culture, actively support all safety initiatives, and adhere to defined accountabilities implemented by the Safety Steering and Continuous Improvement teamsSupport, promote, and practice the Company core values, vision, and mission; follow code of ethics, workplace conduct, safety, and other established policiesCreates, reviews, and maintains accurate records related to the contract process in accordance with established record-keeping requirements; maintains related files; enters data into external and internal systemsReviews and compiles information from project management and estimating team to complete job set-up in accounting and project-management systems and related databasesPerforms initial review of contracts to ensure compliance with Company standards related to key considerations such as payment and general liability termsEnsures compliance with contract record-keeping, reporting, and procedural requirements governed by local, state, and/or federal entitiesMaintains insurance and tax information provided by subcontractors; ensures subcontractor status meets requirementsMaintains and distributes documentation related to lien notices, waivers, and other certificationsMaintains change order documentation and related recordsRegularly communicates with internal staff, subcontractors and/or job owner representatives to obtain and provide informationReviews requests and coordinates subcontractor payments; obtains necessary approvalsObtains documentation and completes steps necessary for job close-out in accordance with contract requirementsAssists with processing of customer credit applicationsAssists with Accounts Receivable processing, including billing and payment follow-upCoordinates and compiles information necessary for internal and external auditsMaintains, generates, and distributes reports and other documents as requiredCompletes projects and other related duties as assigned
Education:
Bachelor's degree in construction management, business, accounting, or related discipline; or equivalent combination of education/experience preferValid drivers' license and ability to maintain a clean motor vehicle record required
Skills:
3-5 years of experience providing contract support in construction or similar industry preferredSome knowledge of basic accounting principlesAbility to read and interpret contract and bid documents, and accounting reportsAbility to effectively interpret and present data and informationAbility to manage multiple priorities, work independently, and exercise sound judgement and decision-makingAbility to maintain confidentiality and interact professionally with representatives inside and outside the CompanyProficiency in use of Microsoft office applications including Outlook, Word, Excel, and PowerPoint; ability to learn organization's database, content management system, and other software as needed
