Intake CoordinatorThe Intake Coordinator reports to the Site Manager and is responsible for conducting program eligibility determination, processing program applications and referring clients to program activities. The Intake Coordinator serves on a team providing services to economically disadvantaged populations through a Workforce Innovation and Opportunity Act (WIOA) employment and training program. This is a full-time, non-exempt position.RESPONSIBILITIESOutreach and Recruitment: Identify and develop opportunities to promote Rubicon's programs and services to community participants and partnering organizations. Facilitate informative workshops on program details and eligibility, both internal/external program information and eligibility workshops. Develop engaging marketing materials and presentations to showcase the resources and services offered Rubicon and the Eden Area AJCC. Create program marketing materials/presentations to promote Eden Area AJCC resources and program services. Conduct client orientations outlining Rubicon program services, eligibility requirements and enrollment procedures.Service Coordination Assist individual applicants with completion of qualifying documentation for program eligibility and enrollment. Make determination of program enrollments and coordinate/scheduling clients for program activities. Maintain clear communication with clients throughout the process to provide support and address any potential barriers to program participation.Meetings and Events: Attend program trainings, partnership meetings, and Rapid Response and community events for program recruitment and enrollment purposes.Data Documentation and Reporting: Accurate collection of essential data and information related to job performance. Timely entry of this information into an electronic data system, and the tracking of important program and service-related information for reporting purposes. Adherence to agency standards concerning the type, method and timing of data entry at all points of the participant eligibility and enrollment, as well as front end service delivery process with prospective participants and partnering agencies. A demonstrated understanding of privacy protection and data security, ensuring the confidentiality of sensitive and PII throughout all stages of data handling.COMPETENCIESWork experience and expertise in the fields of employment services, workforce development or career counseling; must be able to demonstrate working knowledge of best practices for assisting economically disadvantaged and/or other under-represented populations.Strong organizational skills and solid teamwork; interpersonal flexibility and the ability to work successfully with minimal supervision; excellent customer service, communication and group facilitation skills.Must have attention to details. Careful review of participants information to ensure accuracy and completeness, meeting program eligibility requirements. Microsoft Office Suite proficiency including proficiency using databases.This position may require the incumbent to travel efficiently throughout the Bay Area therefore proof of a valid driver license, current auto insurance, and an acceptable Motor Vehicle Report may be required.COMPENSATION AND BENEFITS$25.00 - 28.00 per hourMedical, Dental and Vision health plans. 3 weeks paid vacation and sick leave, 13 paid holidays.4 days paid restorative holiday between Christmas and New Years.Employer sponsored retirement plan.About RubiconAn $18M non-profit Rubicon, provides direct services at eight locations in Alameda and Contra Costa counties and operates a growing commercial landscape social enterprise program that is a leader in sustainable practices.
