Primary Job Duties
The Executive Administrative Assistant works collaboratively and demonstrates a high level of professionalism and confidentiality at all times. They effectively support and interact with company executives, all levels of the organization, and external clients. The anticipated start date for this position would be January 2025.
Duties:
Represent and provide direct support to high level company executives
Executive office communication tasks (calls, emails, and other correspondence)
Daily coordination of individual and group meetings, including lunch, calendaring, and transportation as needed
Gather and organize internal records in order to support finance, human resources, corporate communications and legal with tasks such as discovery requests, pre-employment documentation and other similar assignments
Ensure executive office is properly stocked and represented
Complete travel, hotel, and ground transportation arrangements for company executives as assigned
Assist legal counsel with organizing case files including exhibits, documents, evidence, briefs, and appendices as needed
Additional projects as assigned
Minimum Requirements
Exceptionally organized and efficient
Proven ability to prioritize and manage multiple assignments from several executives with varying deadlines
Reliable and self-motivated
Strong verbal and written communication skills with emphasis on quality, detail, accuracy, and confidentiality
Willing to learn and proactively seek solutions for improvement
Demonstrated proficiency in Microsoft Office Suite
Professional and personable in all interactions with various facets of people
Ability to work under pressure and thrive in a fast-paced environment while also self-motivated to work on varying tasks or projects during downtime
Must have at least 2 years of Executive Administrative Assistant, Legal Secretary or related administrative assistant experience
Preferred Skills:
Experience in the transportation and/or airline industry
Associate's Degree or greater a plus
