About this roleResponsible for providing administrative support. Provides accurate information and responds to general inquiries in a professional and efficient manner. Maintains files and departmental records. Completes documents and reports, and other related duties as assigned. This is a grant funded position. Continued employment is contingent upon grant funding.
What a day of an Administrative Assistant I looks like :Welcomes and assists persons who come into the department. Schedules appointments and meetings.
Performs administrative support functions such as making photocopies, scanning documents, screening phone calls and faxes.
Provides information to the public, students, and staff regarding programs and services of the department, campus, or College.
Prepares general correspondence. Types and edit forms, reports, memos, and correspondences. Includes word processing.
Prepares and review documents for completeness. Processes completed documents as necessary.
Sets up and organizes files and manuals and distributes as needed.
Receives and distributes incoming correspondence and deliveries. Prepares and processes outgoing mail. Inputs and edits standard text for routine correspondence and reports.
Gathers routine information from or makes requests to other employees, outside vendors, customers, or the public.
Assists personnel with operating office equipment such as computers, printers, copying machines, etc. as well as software programs, providing training when necessary.
Performs other job-related duties as assigned.

Education and Experience:
High school diploma or GED
One year of related experience
Knowledge of:
Microsoft Office Professional or similar application
Skilled in:
Delivering a high level of customer service
Attention to detail while maintaining effective time and task management
Ability to:
Effectively communicate verbally and in writing on a regular basis with internal and external customers, build relationships, manage customer expectations, and take responsibility for a high level of service
Interact in a positive manner with diverse populations and varying education levels of students, faculty, staff, and the public
Work in a variety of settings to deliver services to students without a decrease in performance
Licenses, Registration, Certifications, or Special Requirements:
Regular physical attendance required
Preferred, but not a must :
Ability to:
Effectively communicate verbally and in writing in English and Spanish
Work Environment and Physical Demand:
Reach and grasp objects
Stoop, bend, kneel, crouch, or crawl
Use of video display terminal
Use of manual dexterity and fine motor skills
Communicate information orally and in writing
Receive and understand information through oral and written communication
Proofread and check documents for accuracy
