Duties also include product ordering, stocking, invoice/billing; supervision and event planning with the Campus Catering department during the academic year and specifically during the summer conference season.Required QualificationsEducation:Bachelor's Degree or equivalent education/experience in restaurant, retail or institutional food service operations. - Required/or equivalent combination of education and experienceWork Experience:Minimum 1-3 years supervisory experience. Excellent communication and customer service skills including ability to actively listen and effectively convey information, policy and procedures both orally and in writing.Demonstrated ability to organize and manage a variety of events while maintaining a high standard of excellence, including Ability and willingness to prioritize and make necessary adjustments for last minute events. Proven ability to train, schedule and supervise student staff.Or equivalent combination of education and experienceSpecial Conditions of Employment* Satisfactory conviction history background check* UCSB is a Tobacco-Free environmentAbility to lift up to 50 pounds and work standing for up to 8 hours per day.Work hours/days may varyJob Functions and Percentages of Time:Production - 30%Coordinates selection, loading and delivery of food, supplies and equipment to and from site locations.Coordinates and oversees food preparation on site.Oversees the set-up of the food on-site, including hands-on set-up when needed.Stocks cabinets, refrigerators, and bins with supplies to be ready for events. Ensures event area is organized and clean, and that signage is in order. At Concessions events, ensures that sign prices match cash register prices.Coordinates the ordering, set up, supervision and security of all bars for catering. Ensures that University alcohol policies are adhered to at all times.Ensures that food quality and safety standards are maintained on-site to achieve the highest public health standards and reduce the risk of food-borne illness.Supervises the clean up after each event. Makes sure all food and equipment is placed back in the right location.Accounts for the cleaning of all event equipment. Checks working order of all event equipment on-site and off. Requests equipment repair work as needed.Purchasing, Billing, and Cash Handling - 30%In conjunction with the Concessions Manager, takes inventories of Campus Concessions and Catering food and non-food supplies.Inputs data and generates inventory reports through the FMS software system.In conjunction with the Concessions Manager, generates and places food and non-food orders through contracted vendors. Organizes and rotates supplies when deliveries come in.Maintains an accurate inventory of concessions event equipment. Purchases small equipment as needed.Advises Concessions Manager of changes in inventory item prices.In conjunction with the Carrillo Office Assistant and storekeeper, processes all concessions and pantry invoices on a daily basis. Processes all event billing and resolves billing disputes.Prepares and distributes Concessions weekly income and expense report according to University procedures and timelines for use in tracking and cost analysis.Records and assesses profit and loss data for each event, maintaining accurate records of costs, customer counts and sales figures. Provides timely reporting to the Central Office and Concessions Manager.Prepares weekly deposits and cash register receipt documents in accordance with University guidelines. Delivers deposit bags to Central Cashier's office. Ensures that established University guidelines for proper cash handling procedures are followed at all times.Supervision - 20%Works with the Concessions Manager and student managers on determining staffing needs for concessions events.Determines scheduling needs based on event booking and schedules Concessions part-time staff accordingly.Supervises an on-site crew of up to 5 full-time and 25 student employees.Ensures all staff is properly dressed and ready for service when customers arrive.Maintains the provision of excellent service and professionalism to all clients and guests at all events. Ensures employees fully understand their contribution and assigned tasks delegated by the student manager/supervisor.Works with the Concessions Manager to resolve staffing issues.Monitors timecards and reviews labor reports for accuracy. Verifies TMX reports with event staffing reports to ensure accurate time and wage records. Corrects discrepancies.Is the onsite manager for Concessions events.Facilities Upkeep and Maintenance - 15%Supervises the cleaning and organization of kitchen, offices, storeroom, freezers and refrigerators associated with Concessions.Supervises the cleaning of all event locations including the Event Center booths, food trailers and equipment.Generates a daily and weekly cleaning list for cleaning crews.Maintains University vehicles. Keeps up with regular maintenance and repairs through Transportation Services.
