Ascension Global Staffing & Executive Search is seeking a legal assistant for our client's firm in Miami, FL.
The Legal Assistant plays a crucial role in supporting the International Wealth and Asset Planning practice group and boosting attorney efficiency by managing information and aiding in the delivery of legal services, including client interactions. This position demands a proactive attitude to ensure tasks are completed on time, exceptional organizational skills, keen attention to detail, and the ability to excel in a high-volume, fast-paced environment.
Duties and Responsibilities:

- Provide legal administrative support to Trust and Estate attorneys and paralegals.
- Maintain communication with paralegal and attorney on all matters.
- Communicate with clients daily.
- Scan and Organize attorney notes weekly
- Assist with department billing and invoicing.
- Handle general client correspondence
- File of both physical and electronic documents.
- Take client calls, connecting all incoming calls, including initial screening for potential clients.
- Responsible for all aspects of client intake including collection of all pertinent information, file opening, engagement documents, etc. and related follow up.
- Responsible for all aspects of working files including filing notes, containing checklists, adding payment to correct file, setting up status meeting, etc.
- Maintain Master list to ensure each case status is up to date.
- Prepare and send corporate binders to clients.
- Assist with the closing of files.
- Maintain PNC list, ensure it is up to date and consistently reviewed with attorney.
- Schedule and coordinate meetings including videoconferences, and conference calls.
- Manage attorneys' contacts, schedule, and calendar.
- Enter time for timekeeper and print reports as requested.
- Assist with Corporate filings.
- Process expense reports and check requests.
- Find and retrieve information from files.
- Assist with follow up on AR collection.
- Assist attorneys and paralegals in preparation for meetings.
- Maintain confidentiality of client information.
- Manage information through various firm databases, including but not limited to MS Teams, Word, Excel, iManage, and other platforms.
- Track and enter billable time as applicable
- Other duties as assignent
- The Legal Assistant will also include junior level paralegal billable tasks
- In office - 5 days in office
