Under minimal supervision, this position will provide general administrative support to the Dean of Students office at Salt Lake Community College (SLCC). The person hired for this position should be able to make decisions within the scope of the job description and duties and serve as an initial point of contact by maintaining office hours, answering phones, and greeting visitors. They will be expected to work and communicate with all levels of administration, faculty, staff, students, and visitors. The successful candidate will be proactive in putting together calendars, scheduling meetings, taking meeting minutes, providing accurate responses to inquiries, and following up with action items. They must be able to work with and safeguard confidential documents while maintaining confidentiality as well as adhere to all SLCC policies and procedures.
Perform administrative functions including, but not limited to, completing personnel action paperwork, payroll approval, purchasing (P-card, requisitions, purchase orders, bids, etc.), budgeting (creating, processing and/or reconciling of fiscal and budgetary documents, etc.), completing department inventory, and handling travel arrangements.
The ideal candidate will maintain a high level of professionalism and confidentiality related to communication with all internal and external community members associated with the college.
Manage general affairs of the Dean of Students & AVP office; dealing with students that have mental health, personal crisis, and other student-related issues; assist with reports from students and faculty; process highly confidential information; disseminate general information to students, staff and faculty regarding functions within Student Affairs; manage information for the President's and Dean's list; analyze office systems; help students navigate College policies and procedures; coordinate office communications; use of and management of database programs (Banner and Maxient); maintain frequent contact and positive relationships with all levels of staff, faculty, students, and administration college-wide.
Perform clerical functions including the operation of computer and office equipment to compile, write and edit high-quality finished correspondence, reports, email, etc. Take minutes/notes for several college-wide committees including, but not limited to: Dean of Students Unit meetings, Campus Safety Roundtable, and Behavioral Intervention Team.
Process fiscal and budgetary documents including departmental requisitions, supply orders, VISA purchasing card transactions and reconciliation, supply and equipment inventories, personnel and employment records, monthly and annual expenses, prepare budget reports for current expense, hourly staff and travel expenses for department.
Act as a departmental resource for departments within the Dean of Students unit; provide training to Administrative Assistants and hold monthly meetings to address concerns or implementation of college policies and procedures and other work-related tasks.
Other duties as assigned.
