Description
SUMMARY OF DUTIES:
Primary responsibilities include fielding calls from, recruiting, and placing off-site volunteers, including volunteers for home-delivered meals, from potential Adopt-A-Route partners, special project volunteers and more. Engages with prospective and new volunteers. Works closely with internal staff to ensure a fantastic volunteer experience. Helps create data around and deepen retention of home-delivery volunteers.
RESPONSIBILITIES:
• Recruits, screens, schedules, coordinates and retains home-delivered meal and Adopt-A-Route volunteers, including responding to volunteer inquiries.
• Manages new volunteer placement at HDM sites, including:
o Solidifying an opening at a particular site (or a site that needs substitutes) and working with the volunteer to find a suitable location.
o Placing volunteers with the Site Manager by passing along all appropriate contact information, availability, desired role and any other important details.
§ Updating CERVIS with volunteer placements
§ Checking in with the Site Manager a week after placement to ensure the new volunteer has been contacted and scheduled for their first day
o Meeting with new volunteers on their first day at their site to assist in getting them started and oriented.
o Following up by phone to new volunteers at pre-determined interval(s) post-start date to ensure volunteering is going well and to resolve any early issues.
• Serves as the main point of contact for Site Managers, including:
o Handling basic questions (e.g., volunteer contact information, birth dates, anniversary dates)
o Providing information on the volunteer onboarding process and updates about pending background checks, etc.
o Engaging in ongoing conversations about volunteer needs
• Engages with volunteers as individuals and in small groups to help them feel connected and appreciated, building FeedMore loyalty.
• Oversees the HDM spreadsheets and the record gathering and keeping regarding HDM volunteers, including:
o Sending out quarterly spreadsheets with volunteer information for Site Managers to update and following up as needed to ensure all forms are received back
o Making any necessary changes to volunteer profiles in CERVIS
o Managing all Site Manager questions and concerns in regards to the spreadsheets
• Manages volunteer exits and retirements, including:
o Sending thank you cards / gifts to HDM volunteers who have ended their service with FeedMore WNY
o Updating the CERVIS volunteer record to show the volunteer as inactive
o Sending an exit survey to departing volunteers and maintaining and analyzing responses
• Pulls monthly reports to show retention rates.
• Assists in getting Site Managers trained on CERVIS as staggered HDM site roll-out commences.
• Sits in on monthly meetings with the Site Services team as needed, ensuring good working relationships and two-way communication flow.
• Manages CERVIS-related questions, including technical issues volunteers may have.
• Contributes to volunteer communications (e.g., email, newsletter, print materials) as requested.
• Assists with the recruitment for and management of the Adopt-A-Route (AAR) program, including:
o Recruiting and onboarding new AAR partners
o Sitting in on meetings and taking calls pertaining to new partners
o Meeting partners on their first scheduled day of delivery at the site of placement
o Regularly checking in on partners (surveys, phone calls, emails) to ensure volunteering is going well and resolve any early issues
o Assisting with the departure of a partner (surveys, phone calls, emails, sending thank you cards, etc.)
o Maintaining proper records including making sure that all members of an AAR have filled out the appropriate paperwork and regularly checking in with Site Managers to gather updated information on AAR groups
• Manages HDM-related schedules on the website.
• Maintains volunteer database by properly filing home-delivered meal (HDM) registration forms and background check forms. Enters new volunteers into CERVIS who have not registered online; scans and uploads all appropriate documents to volunteers' CERVIS profiles.
• Oversees and maintains the background check process (running all background checks, sending electronic ones out, reviewing results, updating the spreadsheet and CERVIS with the results, and notifying prospective volunteers of their results).
• Develops ongoing HDM related training and oversees completion in partnership with Site Services.
• Serves as a speaker at volunteer recruitment and tabling events as needed.
• Serves as a back-up to the Volunteer On-Site Coordinator as needed.
• Assist with any and all mission work as needed and requested with some or no prior notice including, but not limited to: serving as a truck spotter, helping with FARM Market/Community Garden/Freight Farms/on and off-site food distributions, preparation of meals and serving home-delivered meals.
• Other duties as assigned.
Requirements
• Associates degree with two to three years of experience in volunteer relations, community relations, human resources or fundraising for a not-for-profit or corporate organization or no degree with four to five years of related experience.
• Excellent communication skills, both written and oral.
• Strong interpersonal and customer service skills.
• Ability to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to ensure goals are met.
• Knowledge of Microsoft Office, Word, Excel and Outlook; Raiser's Edge, CERVIS or other donor database/volunteer management system a plus.
• Flexibility to work evenings and weekends to support FeedMore WNY events.
• Valid and current NYS driver's license and daily access to an automobile.
• Capable of lifting a minimum of 35 lbs.
