General Description
To provide day-to-day operational direction and long-term planning for the Association. To lead community operations to meet the objectives of the Board of Directors and the governing documents of the Association in accordance with the management contract.
Responsibilities
Office Operations
Supervise all service requests. This includes ensuring proper receipt and handling of calls from residents, maintaining complete records, notifying and consulting with the Board on major problems in a timely manner and ensuring prompt response to all maintenance requirements within the responsibilities of the Association's legal documents.The On-Site Community Manager shall, from time to time, test the service request program by contacting residents to verify performance by staff and contractors performing workManage all communication and interface with the Community Residents.Governance
Maintain thorough knowledge of CCRs, ensuring protocols and legal requirements are upheldDemonstrate leadership by providing trusted guidance to the BoardProvide regular communication with the Board, including immediate updates on emergency situationsCoordinate, prepare materials and conduct Board meetings and workshopsProvide a monthly Manager's Report detailing community operations and management activitiesAssist Board with setting priorities for maintenance and repairs, capital improvements and amenities, vis a vis Reserve Study and budgetFacilitate reserve study updates and lead Board discussions about sameSupport Board Secretary with reviewing Minutes for accuracy and post to the CAMS portal once approvedRecommend policies to the Board, including coordination with the Association's attorney, as neededCoordinate completion of all instructions from the BoardOrganize and attend community meetingsFinance and Insurance
Prepare a preliminary annual budget and work with the treasurer, board and finance committee to finalize an approved budgetWork within the budget constraints of the AssociationProcess all invoices for payment of Association expensesEnsure monthly financial reports are accurate and delivered to the Board by the 15th of the following monthAnalyze monthly financial reports, create variance reports for the board of directors and finance committeeFacilitate capital improvements, repairs and replacements as necessaryMake recommendations to Board for investment of Association funds, as appropriateInteract with the Association's insurance provider and provide trusted guidance to the Board regarding insurance mattersMaintenance of Common Open Space and Amenities
Ensure amenities and common areas are safe, clean and in proper working orderCommunicate with owners/guests about responsible usage of amenities. Uphold policies, as required.Conduct regular inspections of common areas to assess conditions and manage vendor performance.Oversee management of landscape and other vendors for all tasks and ensure work is performed to contract specifications.Attend meetings with vendors and others, as neededCommunity Standards
Maintain thorough knowledge of the Design Guidelines, rules & regulations, standards, and relevant CCRsOversee the administration of the ARC application processAct as liaison between HOA, Declarant, and Guild BuildersImplement and manage a community standards compliance programIdentify CCR and Guideline violations. Recommend and manage action to remediate violations, including facilitating hearings and liaising with the Association's attorney, as neededEnsure that CCR requirements and policies are enforced accurately, fairly, and in a timely mannerHuman Resources
Lead on-site team, consisting of an Assistant Community Manager, Lifestyle Director, Facilities Manager, and part-time staff to deliver on goals and service the community.Supervise on-site team members to include prioritization, schedules, and direction of activitiesHold the team accountable for their performance and conduct.Offer additional training to staff as needed.Other
Interact as necessary with committees.Support the Lifestyle Director to facilitate and execute community events.Stay abreast of broader development/planning/governmental matters affecting the communityMaintain communication with community board of directors, committees, homeowners, guests, service providers, back-office support-team and others having business with the Association.Support all Emergency/Storm Management planning and execution activity.In all management efforts, ensure objective and timely follow-up.Work with all third-party professionals toward accomplishing their objectives, including engineers, legal firms, insurance firms and construction management firms.Requirements
Experience in managing multiple associations/projects.Prior LSM experience requiredActive-Adult community experience preferredExperience in project coordination and oversight with the ability to plan and prioritize.Strong customer service skills and can interface effectively with sophisticated clientele.Formal education or professional work experience in Community ManagementOutstanding written and oral communication skillsExcellent time management skillsMust be proficient in Microsoft Office applications (Word, Excel, Outlook)Ability to adapt to varying tasksAbility to quickly learn new technologyMust be detail-orientedAbility to create and maintain a budgetAbility to review and analyze financial reportsKnowledge of and minimum of five (5) years of working experience in combination with the following disciplines
Commercial, residential, and/or community managementConstruction/Landscaping ManagementBusiness ManagementFiscal, budgetary and purchasing managementEducation/Certifications
CMCA and AMS will be necessary. PCAM preferredCPR/AED certified or willing to become certifiedBenefits and Salary
The salary range for this position is starting at $80,000 annually with negotiation available depending on CAI designations and tenure in the HOA field.
