The Administrative Assistant will be responsible for providing high-level administrative services at the executive level. Duties may include scheduling/coordinating meetings, travel arrangements, expense reports, answering phones, distributing mail, preparing correspondence or reports, filing department materials, and/or other specialized department activities.
Minimum Qualifications:
High school diploma or equivalent.5 plus years' experience as an administrative professional at a senior level.Experience in multiple areas of an office environment.Strong computer skills required: Word, Excel, OutlookExcellent written and verbal communication skills.Primary Job Functions:
Coordinate travel arrangements and prepare itineraries as needed.Maintain departmental calendar(s) for the purpose of appointments, meetings, departmental activities, and/or other important deadlines for reporting, etc.Transcribe and/or prepare correspondence, memos, or reports.Process various departmental paperwork and ensure that paperwork is completed in a timely manner and forwarded to the correct party.Handle confidential information and maintaining a professional atmosphere.Answer phones, assist callers when appropriate, and take messages.Answer job-related questions, provide assistance when needed, and perform other duties as assigned.Coordinate and document special projects as assigned.Identify potential workflow improvements and impediments.Process expense reports.Manage billing process.Act as Concur administrator for Travel and Expense.Coordinate documents for signature and distribution.Back up for reception desk.Other duties as assigned.The above cited duties and responsibilities describe the general nature and level of work performed by people assigned to the job.
