THE FLEET COORDINATOR POSITION

Sunnova Energy is searching for a Fleet Coordinator to support its growing fleet of installation and service vehicles. The Fleet Coordinator organizes activities, tracks, and reports on tasks related to the procurement, servicing, operation, maintenance, and repair of company-controlled vehicles.

This role is responsible for maintaining the Company's vehicle fleet records, including registrations, insurance, maintenance, mileage, and driver assignment, along with assisting with the day-to-day activities of the Company's fleet business needs and budget specifications. Additionally, this role provides supporting documentation and analysis for standardizing vehicle procurement purchases, financing, replacements, upfitting specifications, outfitting requirements, and safety equipment, in coordination with the Manager, Fleet Services. This position assesses, researches, and provides support to the company fleet program.

FLEET COORDINATOR RESPONSIBILITIES

• Track, record, manage, and report on company fleet records including state registrations, inspections, insurance, mileage, maintenance, repairs, fuel usage, vehicle down time and accidents including company owned or rented vehicles used in field service operations.

• Ensure schedules for regular preventative maintenance are maintained, tracked, and reported.

• Set up scheduling programs to assist in maintaining the vehicles' operational abilities and prolonging their useful life.

• Screen and analyze data to take necessary measures to reduce operational costs.

• Coordinate with staff and third-party vendors to schedule repairs.

• Assist in reducing vehicle down time and employee loss time due to vehicle down time.

• Assist in assessing, diagnosing vehicle mechanical failures and prepare solutions for expedient repairs. Monitor, evaluate, and determine the priority of vehicle maintenance, servicing, and repair needs.

• Monitor fuel expenses by administering a fuel card program and a service and maintenance program.

• Order, process, and assign fuel cards, PINs, insurance cards, service and maintenance cards and other related items.

• Record, report and track incident/accident and loss investigations.

• Coordinate the transfer of vehicles and driver assignments to vehicles.

• Coordinate ordering, delivery, and installation of GPS and other vehicle monitoring systems. Oversee mailing of documents, tags, renewals, and fuel, cards

• Monitor GPS and other driver alert systems for driver operations that are in compliance with Federal, State and local laws, and company policy.

• Communicate and deliver on goals, objectives, policies, and priorities for improving vehicle operations and safety services for vehicle fleet.

• Perform other fleet and safety tasks as directed in support of the Fleet Manager or Director, Safety and Fleet Operations, on an as needed basis.

MINIMUM REQUIREMENTS

• Education required: Associate degree with college curriculum completed in a technical or business degree program.

• 2+ years working experience in a similar role or in a fleet management department or company.

• Proficiency of computer applications, Microsoft Office 365 Suite (Excel, Word, Outlook etc.).

• Legally authorized to work in the US for ANY employer.

PREFERRED QUALIFICATIONS

• Bachelor's degree in business or successful completion of related technical school program.

• Proven analytical skills reflecting the ability to be initiative-taking and pay keen attention to the smallest of details.

• Must be able to manage time effectively and meet/beat deadlines.

• Other characteristics, behaviors, experience, and skills that support the position to manage and oversee fleet management and personnel.

• Must possess professional qualities that reflect and support positive inclusion and ability to work as part of a team.

• Excellent and effective written and verbal communication and people skills to include effective proof-reading and proper grammatical presentations.

WORKING CONDITIONS

• Open office environment.

• Works in office; not a remote or work from home position.

• Able to work extended hours when required, some overtime may be required.

PHYSICAL REQUIREMENTS

• While performing the responsibilities of the position, the employee is required to talk and hear to large groups.

• The employee is often required to sit and use their hands and fingers, to handle and to manipulate keys on a keyboard.

• Ability to work at a computer for 8-10 hours per day.

• Able to sit or stand for frequent periods in the same location with an opportunity to move about.

• The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required in this job include close vision.

• Able to lift, individually or with assistance, up to 50 lbs. rarely.
