Job Description

This multifaceted role combines executive support with general office management responsibilities. The ideal candidate will be skilled in handling a wide range of administrative and executive support tasks, demonstrating the ability to work independently with little supervision. This role is pivotal in ensuring smooth operations within the department and requires exceptional communication, organizational, and time-management skills. This role requires the ability to take initiative, analyze many factors and use judgment to make informed decisions. They must be able to manage access to confidential business (internal and external) information. This role requires excellent communication with all levels of staff and stakeholders whether in person, via email, or over telephone.

Responsibilities

Essential Duties & Responsibilities

• Performs a wide variety of executive administrative duties as required. Coordinates activities and schedules for MarComm senior leadership.

• Makes travel arrangements for MarComm senior leadership and reconciles expenses; maintains appointment schedules and calendars; arranges meetings and conferences.

• Provides follow-up to assignments given to members of the management team by the AGM and provides status reports.

• Prepares, reviews, distributes, and/or files routine correspondence, memoranda, letters and reports; attends staff and other meetings and takes notes or minutes.

• The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.

Qualifications

Minimum Qualifications - Education and Experience

Bachelors degree in business/public administration, accounting, finance, human resources, communications, public relations or a related field (Additional professional experience may be considered for substitution for the required degree on an exception basis).

2 to 4 years' experience of management, public relations, communication, or related experience.

Required Skills: Microsoft Office

Preferred Education & Experience

Bachelors degree as described above, plus 5 years of management, public relations, communication, or related experience.

Licensures and Certifications

No specific certifications or licensures required.

Individual positions may require completion of training in specific reporting languages or software.
