Production Assistant , where you'll play a key role in ensuring the seamless flow of administrative and production activities within our organization. From coordinating schedules to assisting with project management, this role is perfect for someone who thrives in a dynamic, team-driven environment.Key ResponsibilitiesAdministrative Support:Manage routine clerical tasks such as answering phones, greeting vendors and customers, verifying supply receipts, and maintaining our CRM database.Assist with document preparation, including contracts, permits, and project-related forms.Ensure accurate and timely updates to project records, expense reports, and CRM data.
Operations Coordination:Collaborate with the sales team to address contract and installation inquiries, timelines, and material availability.Work closely with project managers to estimate budgets, create production schedules, and communicate project updates to stakeholders.Assemble and distribute bid packages, coordinating scope, documentation, and vendor communications.
Scheduling & Resource Management:Help optimize production schedules, assigning project activities, deliverables, and milestones.Coordinate appointments for roofing crews and project managers, ensuring alignment with expertise, location, and availability.
Customer Service:Provide prompt, professional support to customers, including warranty claim calls, assessments, and repair scheduling.Maintain high standards of communication with internal and external stakeholders.
General Support:Serve as a backup to other employees or departments as needed.Continuously adapt to new responsibilities as business needs evolve.
What You BringSkills & Abilities:Strong verbal and written communication skills.Exceptional interpersonal and customer service skills with a proactive and professional demeanor.Ability to prioritize, analyze data, and work independently.
Qualifications:High school diploma or equivalent required.Minimum of 3 years of administrative experience, with construction project management experience preferred.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Familiarity with construction management CRM systems.Team-oriented mindset with a focus on collaboration.
