POSITION SUMMARY:
This position provides administrative support to the Senior Leadership Team to include, maintaining calendars, scheduling meetings, making travel arrangements, taking meeting minutes, typing and formatting policies, procedures, forms and posting them to the intranet, coordinating updates to the website, and coordinating the printing and proofing of company print materials. Demonstrates effective time management, ability to meet deadlines and strong organizational skills in handling various administrative activities for the Senior Leaders.
ESSENTIAL DUTIES & RESPONSIBILITES:
1. Actively manages the calendars for the CEO, CFO, and COO to ensure recurring and as-needed meetings are scheduled and rescheduled timely and to support the senior leadership team's productivity and responsiveness to organizational needs.
2. Makes travel arrangements for Senior Leadership team members and their direct reports, as needed, physicians, as requested, and in support of physician recruitment efforts.
3. Arranges meetings to include scheduling, ordering food, room set up, obtaining audio/visual aids and notifying attendees.
4. Takes minutes, as requested, at organizational meetings with primary support dedicated to physician related meetings and leadership team meetings.
5. Assists in the design, maintenance, review and organization of organizational policies, procedures, and forms
6. Coordinates updates to the website with external marketing company and facilitates the creation and updating of select print materials to include physician bio-cards, all company business cards, the physician directory, and other internal marketing publications.
7. Sets up and maintains the schedule for after-hours, emergency care coverage of Spokane Eye Clinic patients and any other contracted facilities.
8. Provides administrative support for special events, internal communications, and mailings in support of operations.
9. Coordinates the renewal of company insurance policies (Medical Malpractice, Cybersecurity, Directors & Officers, Property) by assisting in data collection and renewal form completion.
10. Assists the physicians in processing annual dues, subscriptions, memberships (WAEPs, AAO) in coordination with Finance.
11. Handles confidential information with a high level of sensitivity.
Requirements
MINIMUM QUALIFICATIONS:
At least 1 year of experience as an executive secretary or administrative assistant.Proficient in Microsoft Office applications (Word, Excel, and Outlook, PowerPoint,) online survey tools, and databases and ability to learn other software programs as needed.Demonstrated work experience with problem-solving, decision making, self-direction, and developing effective and professional interpersonal connections.PREFERRED QUALIFICATIONS:
5 years of experience as an executive administrative assistant.Experience supporting multiple leaders.Experience with marketing and social media.
