Cutting Edge Fabrication is a leading metal fabrication company producing medium to large-complex metal weldments for various industries utilizing the following equipment: plasma and oxy-fuel table, 6000-watt laser, up to 750-ton 20-foot break press, sawing, machining, robotic welding, weld positioners, and assembly. Main Responsibilities: The Office Manager's manages the general operations in the organization. The Office Manager performs an array of tasks that ensure smooth and efficient running of the office. Additionally, the Office Manager looks to improve efficiencies in the company procedures and day-to-day operations. Essential Duties and Responsibilities Set-up new customers in the system and do reference checks for order entry. Confirm price & delivery to customers, including job closing (costing). Set up new hire drug screening & physicals and complete all new hire onboarding and personnel training Track attendance, paid time off, and access points as required for weekly Payroll. Enter garnishments & perform wage attachment set up Accounts Payable - Verify & enter vendor invoices, reconcile invoice discrepancies and select invoices for weekly payment. Accounts Receivable - Accurately invoice customers, provide sales report out to President, process deposits and collections when needed. As well as preparing month end and year end reports for the Controller. Work closely with Shipping & Receiving to create packing slips and/or BOL's for customer shipments. Create packing slips for outside vendor shipments and UPS shipments. Schedule trucks for pickups & deliveries, conduct part tracking, attach material certs & any required documents for customer shipments as needed Provide Material Control & Inventory support by verifying, scanning & electronically filing material certs. Pull materials from inventory and into jobs as consumed and adjust material inventory as required Maintain office condition, organize office operations and procedures, order stationery and equipment, file paperwork & electronic job files, and quotes Update and maintain office polices as needed, provide general support to visitors, plan in-house or off-site activities like parties, celebrations and conferences. Coordinate with IT department on all office equipment Assist Estimators as need arises uploading, printing, and saving files electronically Assist in Quality Control by submitting month end paperwork to Director of Quality Manage contract and price negotiations with office vendors, service providers and office lease Work with Health Insurance Provider to ensure insurance is accurate and date required is submitted Serve as the point person for facility management vendors, including cleaning and catering Other duties as assigned Requirements Experience as an Office Manager, Front Office Manager or Administrative Assistant Knowledge of Office Administrator responsibilities, systems and procedures Job Boss System experience required Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands-on experience with office machines (e.g. fax machines and printers) Familiarity with email scheduling tools, like Outlook scheduling. Excellent time management skills, ability to multi-task and prioritize work with interruptions and the ability to pivot & return to task.
