Position Summary: NPSG Built is looking for someone to be an integral part an amazing team with opportunity for professional growth and advancement. As a Construction Office Administrator, you will play a crucial role in ensuring the smooth and efficient operation of our office. This position involves providing administrative support to various departments and personnel within the organization. General Duties and Responsibilities: 1. Office Management: As Director of First Impressions, you will often be the person with whom visitors and staff first engage greet visitors, manage the front desk, and be responsible for appearance overall office environment. Manage Ring Doorbell access. Maintain a tidy and organized office environment. Order and manage office supplies and equipment. Coordinate office maintenance and repairs as needed. Manage, order Break Room supplies, food, and beverages. 2. Document Management: Organize and maintain physical and digital filing systems. Prepare, format, and proofread documents, reports, and presentations. Manage and distribute incoming and outgoing mail and packages. 3. Scheduling and Calendar Management: Schedule meetings, appointments, and conference calls for company team events. Coordinate and manage meeting rooms and resources. Send meeting reminders and agendas to participants. 4. Correspondence and Communication: Draft and edit emails, letters, and other correspondence, if requested. Serve as a point of contact for internal and external stakeholders. Relay messages and inquiries to the appropriate personnel. 5. Meeting Support: Assist in preparing meeting materials, including agendas and presentations. Attend meetings and record minutes as necessary. Follow up on action items and deadlines. 6. Assist Business Development, Estimating, Preconstruction, and Project Management: Coordinate project-related paperwork and documentation. Assist in the preparation of project proposals and bids. Help track project timelines and milestones. 7. General Administrative Support: Provide administrative support to various team members as needed. Handle sensitive and confidential information with discretion. Perform other administrative tasks and projects as assigned. 8. Licensing Support: Submitting and updating Secretary of State filings annually. Handling of Business License applications and renewals. Assistance with maintenance of General Contracting licensing applications and renewals. 9. Weekly Staff Meeting Support: Update Project Board and Meeting Updates weekly prior to weekly Staff Meeting. Prompt team members for project updates including scheduling updates. Handle food ordering for meetings. 10. Printer/Larger Format Printer Support Manage consumables like paper and ink. Contact and coordinate support from vendors. 11. Assist with HR Functions: Assist in the onboarding process for new employees. Manage New-Hire Welcome Package including lists for swag, IT equipment, etc. Support with organizing employee events and training programs. Manage NSPG Development swag. Update Employee Handbook as needed (typically annually). Keep track of employee birthdays, work anniversaries, etc. 12. Assist with Safety Functions: Update Site Safety Manual (Red Books) for each new job and assemble new manuals as needed. Qualifications: High school diploma or equivalent; some college coursework or degree in business administration or construction administration is a plus. Proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook) and Adobe Acrobat/Bluebeam. Procore experience is a plus. Excellent organizational, communication, and time management skills. Strong attention to detail and accuracy. Ability to multitask and work efficiently in a fast-paced environment. Previous administrative or office experience is preferred. Bilingual in English/Spanish is preferred, but not mandatory.
