Job Description
Recruiter/HR Administrative Assistant manages all recruitment procedures and will handle the selection and hiring to support different projects. Responsible for achieving staffing objectives by recruiting and evaluating job candidates; advising managers; and managing screening process.
Essential Functions:
1. Builds applicant sources by researching and contacting community services, colleges, employment agencies, recruiters, media, and internet sites; providing organization information, opportunities, and benefits; making presentations; and maintaining rapport.
2. Manages an active database of qualified personnel, screening applicants, interviewing, and checking references.
3. Recommends and implements recruitment strategies which includes but is not limited to researching recruitment websites, job fairs etc. for finding new talent.
4. Plans and coordinates job fairs and other recruitment events.
5. Updates and maintains the Applicant Tracking System (ATS).
6. Responsible for attracting candidates using various sources and external job boards.
7. Posts job ads, organizes resumes and job applications.
8. Monitors and audits career site and other external posting sites to ensure all job listings are accurate.
9. Conducts application reviews to assess work experience, credentials, and level of professionalism of the applicant.
10. Determines applicant qualifications by interviewing applicants, analyzing responses, verifying references, and comparing qualifications to job requirements. Assess applicants’ relevant knowledge, skills, soft skills, experience and aptitudes.
11. Completes the recruitment cycle with each qualified applicant which includes but is not limited to scheduling and conducting interviews, conducts background, credit, and judiciary checks, completes references.
12. Ensures that all required pre-employment screening such as background, drug test and reference checks are completed.
13. Assists on completing the pre-employment process for all new hires.
14. Handles I-9 and E-Verify processes.
15. Ensures our company attracts, hires and retains the best employees, while growing a strong talent pipeline.
16. Compiles reports and spreadsheets and preparing spreadsheets.
17. Creates documents and reports using Microsoft Suite (Outlook, Excel, Power Point, and Word), SharePoint, OneDrive to perform various administrative functions daily.
18. Creates, reviews, and provides critical analysis of recruiting activity for the market; devise action plans for continuous improvement.
19. Discovers ways to enhance efficiency and productivity of procedures.
20. Keeps senior management informed with detailed and accurate reports or presentations.
21. Other task and responsibilities as assigned.
Qualification requirements:
• Bachelor's Degree in Human Resources or related field is preferred.
• Minimum of 3 years of progressive experience in full cycle recruiting experience.
• Minimum of 2 years of ATS management.
• Bilingual (English/Spanish) - Required
• Candidate will work most days from our Regional Office at zip code 77021. Location recruiting for will be 77035 with potential workdays available on site.
• Previous experience management in ADP Workforce Now is preferred.
• Familiarity with HR databases, Applicant Tracking Systems (ATS) and Candidate Management Systems (CMS)
• Excellent interviewing skills
• Exceptional time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates
• Excellent written and verbal communication skills; must be able to speak professionally to clients regarding both operations and recruiting
• Schedule availability on evenings and weekends as business demands
• Previous experience working with Federal government contracts is a plus.
• Proficiency in Microsoft Office suite.
• Proficiency in SharePoint and OneDrive.
