Job Description
We are in search of a meticulous Administrative Assistant to join our team located in Columbia, Missouri. In this role, you will be expected to handle a variety of tasks including helping with invoices, assisting with monthly spending projections, managing vendors and vendor processes, and maintaining organized files. This role offers a long-term contract employment opportunity. 12-18 months for a construction company/jobsite in an office setting.
Responsibilities could include:
• Ensure proper issuance and processing of Tax Exempt Certificates.
• Verify and process Subcontractor Insurance Certificates.
• Validate and process Certified Payroll Submissions.
• Handle the processing of Miscellaneous Invoices and reconciliation of Monthly Payables and Receivables.
• Assist in the processing of Subcontractor Payment Applications and tracking of sub tier lien releases.
• Provide support in Owner Invoicing and preparation of Monthly Spending Projections.
• Set up new vendors in the system and manage vendor relationships.
• Assist in routing Supplements in DocuSign and tracking of supplements.
• Maintain organized files of subcontractor bonds and other hard copy documents.
• Provide administrative support to jobsite as needed.
• Minimum of 1 year experience in an administrative role
• Proficient in Microsoft Office Suite including Word, Excel, and Outlook
• Experience in answering inbound and outbound calls
• Strong customer service skills
• Ability to perform data entry tasks with accuracy
• Proficient in email correspondence
• Experience in scheduling appointments
• Familiarity with filing and organizing files
• Strong organizational and multitasking abilities
• Excellent verbal and written communication skills
• Ability to work independently and as part of a team
• High school diploma or equivalent educational level.
