Partners Professionals is currently looking for an Accounting/Administrative Assistant, located in Huntington Beach. Temp to hire, M-F 8-5pm, onsite, offering $23-25/hr. DOE The Administrative Assistant will work with all departments, coordination, organizational, and administrative functions.

Accounting/Administrative Assistant Job duties:

  • Answering the phone.
  • Prepare Customer Checks to be deposit (Excel)
  • Entering Vendor's Bills (QuickBooks)
  • Preparing order via website, e-mails and ED2 (Fishbowl)
  • Weekly Report Tracking List (Fishbowl & Excel)
  • Entering Customer Payments (QuickBooks and Excel)
  • Miscellaneous (Depends on the day).
  • Confirmation on Orders (EDI, Excel and Fishbowl)
  • Providing POD to our customers. (Shipping company's website)
  • Running A/R aging summary (QuickBooks and Excel).
  • Update all necessary files. (Excel)
  • Vendor Discrepancy Invoices. (QuickBooks and Excel)
  • Making sure supplies are in stock.
  • End of the day reports (Excel)
  • Logistics (Scheduling Trucking Company via Website and Excel)
  • UPS / FedEx Shipment Label (UPS WorldShip and FedEx Ship Manager)
  • Charging Customer Credit Cards (Via website)
  • Filing
  • Sending Invoices via EDI (Excel)

 

Accounting/Administrative Assistant Job Requirements:

  • Minimum of 2+ years of experience as an Administrative Assistant reporting directly to senior management
  • Advanced Microsoft Office skills, Excel and
  • Knowledge of QuickBooks
  • Proficiency in collaboration and delegation of duties
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills
  • Friendly and professional demeanor
