Position Summary:
The administrative assistant will assist with office management and handle duties for management and other employees as needed. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
Nature of Work
The primary purpose of the administrative assistant would be providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
Responsibilities:
• Organize and schedule meetings and appointments; travel arrangements; book conference calls, rooms, taxis, couriers, hotels etc.
• Maintain contact lists; develop and maintain a filing system
• Produce and distribute correspondence memos, letters, faxes and forms; carry out administrative duties such as filing, typing, copying, binding, scanning etc.
• Assist in the preparation of regularly scheduled reports; submit and reconcile expense reports
• Take accurate minutes of meetings
• Research and creates presentations
• Write letters and emails on behalf of other office staff
• Develop and update administrative systems to make them more efficient; coordinate office procedures
• Greet and assist visitors to the office
• Assist Executive Assistant as needed
• Other related activities
Minimum Qualification Requirements:
• 1-3 years of experience in an administrative role in a corporate environment
• Flexibility with hours, able to work overtime as needed
• Strong skills in MS Word, Excel, PowerPoint and Outlook
• Responsible, reliable, and trustworthy, with proven track record of working with confidential information
• Excellent interpersonal, organizational, and communication skills with strong sense of tact
• Able to interact well with employees and business partners of all levels and backgrounds
• Self-motivated, proactive and able to work well both independently and collaboratively using good business judgment and common sense
• Comfortable working with and maintaining various forms of technology and electronic equipment
• Can-do, positive, flexible attitude and demeanor, and willing to roll up sleeves as needed in a dynamic, fast-paced environment
• Must have reliable vehicle that can be driven to and from work 5 days a week.
• Detail-oriented and also able to multi-task as needed
• Bachelor degree preferred
