Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, the admin assistant will be responsible for providing proper support to our office employees, vendors, and customers. The admin assistant will work closely with management to complete assigned task which includes, but is not limited to answering phone calls, scheduling appointments, planning meetings, collecting payments and so forth. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. 

Responsibilities 
  • Review with customers and walk-through the repair process: Greet customers by phone or in-person; explain to customers the collision repair process, including insurance claims information, processing, and payment procedures
  • Complete vehicle intake process: This includes mapping damage, photographing vehicles, and documenting work files per company and repair partner standards
  • Perform administrative tasks: Administrative tasks may include collecting incoming payments, conducting AR follow-up calls, calling customers, sending emails, etc.
  • Provide additional support to Service Advisor (as needed): Complete parts invoices and provide additional support for Service Advisor role as needed
  • Schedule appointments and maintain a calendar
  • Write emails, memos, and letters and distribute them appropriately
  • Maintain an organized filing system
Qualifications
  • High school diploma/GED required, Associate’s degree or administrative training is preferred
  • Previous experience as an Administrative Assistant or in a similar position preferred
  • Familiarity with standard office equipment such as printers and fax machines
  • Highly organized with excellent time management skills and the ability to prioritize projects
