Unity Electric LLC is hiring: Administrative Assistant in East Rutherford

The Administrative Assistant is an integral part of the administrative team in estimating and executing projects. The Administrative Assistant is responsible for all administrative aspects of the account(s) including but not limited to: time keeping, tracking logs, proposals, prequalification with clients and building permit flings.   The Administrative Assistant is also responsible for supporting the estimating department, management team with client relationships, and internal and external communications.  It is expected that the Administrative Assistant will communicate effectively with all team

Essential Job Functions  

·       Assist in the creation and issuance of Proposals and/or estimates 

·       Participate in the updating of detailed logs for estimates

·       Communicate all incoming requests to the Estimating Department

·       Coordination with the Accounting, Operations, Payroll and HR Departments

·       Coordination and Completion of Prequalification’s   

·       Prepare filing for department of buildings

·       Maintain record logs for permits, filings, approvals

·       Maintain relationships with vendors and subcontractors

·       Assist with obtaining Sales Tax Certificates from clients

·       Maintain Building Connected Software Bid Log

·       Comply with all company policies and procedures 

·       Prepare Handover Meeting documents and filings for Operations

Requirements: 

·       Strong organizational skills 

·       The proven ability to work with a team 

·       Excellent written and verbal communication skills 

·       Proficiency in letter writing and financial data entry. 

·       Proficiency in Microsoft Excel, Word, and PowerPoint and the chosen ERP system 

·       Demonstrated ability to efficiently handle multiple bids.

·       Satisfy needs of internal and external stakeholders.
