Position Overview:
Ryan Gems Inc., a family-owned fine jewelry manufacturer, is seeking a highly organized and proactive Administrative Assistant to support day-to-day operations. The ideal candidate will be a detail-oriented professional with excellent communication and multitasking skills, eager to work in a fast-paced and collaborative environment.
Responsibilities:
- Provide administrative support to ensure smooth operations, including scheduling meetings, managing calendars, and handling correspondence.
- Coordinate with various departments, including sales, production, and design, to facilitate workflow.
- Maintain organized records and filing systems for invoices, contracts, and other essential documents.
- Monitor inventory and office supplies, ensuring timely replenishment.
- Prepare reports, presentations, and other materials as needed.
- Manage data entry tasks with a high degree of accuracy and attention to detail.
- Perform other administrative duties as assigned by management.
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM or inventory management software is a plus.
- Exceptional verbal and written communication skills.
- Excellent organizational and time-management abilities.
- A proactive attitude with the ability to anticipate needs and solve problems independently.
- Experience in the jewelry or manufacturing industry is a plus but not required.
