Job Summary:
This position guarantees 72 hours biweekly on all assignments, exclusive of any ""on-call"" time worked. The Administrative Assistant III will work with the ENT Department onsite at Client in Boston, MA. The schedule is Monday through Friday, 8:30 AM - 5 PM, and this role is 100% onsite.
The Administrative Assistant III provides vital administrative support to physicians in their clinical, academic, research, and leadership roles.

The Administrative Assistant III provides vital administrative support to physicians in their clinical, academic, research, and leadership roles.
Essential Responsibilities:
- Answer and screen telephone calls, taking accurate messages or directing calls to the appropriate person.
- Greet and direct patients, families, visitors, and staff in a professional manner.
- Respond to requests in a timely manner, providing clear and accurate information within the scope of knowledge and authority.
- Update patient demographic and insurance information and obtain specialist referrals for appointments.
- Schedule patient appointments using available scheduling tools and resources.
- Coordinate and communicate ancillary appointments and procedures, collaborating with other hospital staff as needed.
- Obtain necessary patient information and materials from referral sources.
- Prepare and maintain patient records for clinical activities.
- Act as a liaison with other departments and external customers, handling interactions with calm support.
- Manage the physician's administrative and clinical calendars effectively.
- Type correspondence, manuscripts, and documents that may require complex formatting.
- Compose routine correspondence and transcribe letters and patient notes as needed.
- Prepare and distribute materials for meetings and committees.
- Assist licensed practitioners by queuing prescriptions for renewal and performing initial reviews of medication listings for accuracy in the electronic medical record (Web OMR).
- High school diploma or GED required; Associate's degree preferred.
- 3-5 years of related work experience required.
- Experience with computer systems, including web-based applications and Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Access).
- Written Communications: Ability to communicate clearly and effectively in writing with internal and external customers.
- Oral Communications: Ability to converse in English to communicate effectively with medical center staff, patients, families, and external customers.
- Knowledge: Demonstrated working knowledge of standard concepts, practices, procedures, and policies, with the ability to apply them in varied situations.
- Teamwork: Ability to collaborate in small teams to improve operations, offer ideas, identify issues, and respect team members.
- Customer Service: Ability to provide high-level customer service to patients, visitors, staff, and external customers, demonstrating active listening and problem-solving skills.
- Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, or pulling objects.
- Sitting most of the time, with occasional walking and standing.
