Salary Compensation Range: $55,000-65,000

MAJOR FUNCTIONS:

The Administrative Assistant provides direct and material support to the Vice President of OASAS Residential Services, who is responsible for the oversight of 150 staff members, 6 programs and various grants and awards. The Administrative Assistant supports the Vice President in meeting organizational and division-specific goals and objectives through various activities including assumption and organization of daily tasks.

SPECIFIC DUTIES & RESPONSIBILITIES:

  • Prepares for and attends all meetings chaired by the VP of OASAS Residential Services
  • Maintains and distributes minutes for all meetings for which meeting minutes are required
  • Assists the VP in remaining organized by reviewing daily calendars and scheduling meetings
  • Supports Program Directors and other managers reporting to the VP in screening candidates for positions
  • Provides administrative and logistical support to other members of the senior management team upon request
  • Provides administrative and logistical support to programs in the absence of a program-level Administrative Assistant.
  • Prepares memos, reports, correspondences, and spreadsheets in collaboration with the VP
  • Reviews and organizes clinical data for review and interpretation by the VP
  • Reviews and edits documents prior to distribution
  • Remains current on trends in all areas of VP responsibility and provides insight to the VP on the applicable external environment
  • Develops relationships with members of the management team in order to assist them in carrying out their responsibilities
  • Attends all Odyssey House functions including fundraisers, events and program-level celebrations
  • Acts as liaison between VP and human resources department in facilitating the onboarding process
REQUIREMENTS: EDUCATION/TRAINING AND EXPERIENCE KNOWLEDGE, SKILLS AND ABILITIES
  1. Bachelor’s Degree in Human Services concentration or related field required
  2. Highly organized and capable of managing multiple tasks simultaneously
  3. Proficiency with computer operation (Microsoft Word, Excel, EHR, and Outlook programs) required
  4. Excellent interpersonal skills and the ability to work within the context of a large management team
  5. Must demonstrate excellent written, verbal, interpersonal and organizational skills
  6. Demonstrated interest in working with marginalized populations (substance use, mental illness, homelessness) strongly preferred
