About the Role
The Administrative Assistant provides comprehensive administrative and executive support across the organization. This role is ideal for someone who is highly organized, detail-oriented, and capable of handling a wide variety of administrative tasks in a fast-paced environment. The position is based in Boston, MA, and requires an in-office 4-day week schedule.

Main Responsibilities
- Administrative Support:
- Handle general administrative duties such as managing emails, phone calls and maintaining office supplies.
- Prepare and process documents, reports, and correspondence as needed.
- Assist with scheduling, calendar management, and organizing meetings.
2. Executive Support:
- Provide direct support to senior executives, including calendar coordination, travel arrangements, and expense reporting.
- Prepare presentations, meeting agendas, and materials for executive meetings.
- Manage confidential information with discretion.
3. General Communication Management:
- Serve as a liaison between staff, executives, and external contacts.
- Draft, proofread, and distribute communications on behalf of the team.
- Ensure timely and efficient follow-up on action items.
4. Office Coordination:
- Oversee the organization and maintenance of office space, ensuring a clean and efficient work environment.
- Coordinate with vendors, service providers, and building management as needed.
- Help plan and organize company events, meetings, and team activities.
Requirements
- Bachelor's degree in business administration, communications, or a related field.
- Proven experience as an administrative or executive assistant.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational, problem-solving, and multitasking abilities.
- Ability to work independently and be a team player.
- Discretion and confidentiality are essential.
- High level of integrity and professionalism.
- Strong interpersonal skills with a proactive approach.
- Detail-oriented with a focus on accuracy and quality.
- Adaptable, flexible, and able to work in a fast-paced environment.
