Job Description
A2 Development Group is a Long Island, NY based real estate development company focusing on value added commercial real estate investing on Long Island. A2 also operates a residential luxury vacation home development business on Fire Island, NY. Founded in 2013, the A2 team brings extensive experience in construction, finance, property management, real estate brokerage and design to all of our projects. We are seeking an experienced Administrative Assistant to support our team and keep operations running smoothly.
Position Overview:
As an Administrative Assistant at A2 Development Group, you will play a key role in supporting the Director of Projects and ensuring the smooth operation of our residential and commercial projects. The ideal candidate will be highly organized, detail-oriented, and possess strong communication skills to handle a variety of administrative and project-related tasks. This role requires someone who can multitask and prioritize effectively in a fast-paced environment. Local travel and driving will be required.
Key Responsibilities:
Assist with the management of project plans, timelines, and schedules. Help maintain project documentation, track milestones, and ensure all paperwork is properly organized. Maintain digital and physical files in an organized manner.
Completing and submitting required permitting paperwork, applications, and other regulatory paperwork for residential and commercial projects.
Track the status of open permits, ensuring timely follow-ups and updates to the project management team.
Coordination and communication with vendors, contractors, and internal team members to ensure smooth operations and project progress. Schedule meetings, site visits, and other project-related events.
Monitoring order progress and coordinating with team members regarding delivery schedules
Assist with the preparation and distribution of project applications and plans.
Handle general administrative duties, including data entry, file management, and office supply monitoring.
Support with general office administration. Answer phone calls, manage emails, and perform general office duties to ensure efficient daily operations.
Provide administrative support to the Director of Projects by managing calendars, preparing reports, and handling day-to-day tasks related to projects.
Qualifications:
Previous experience in an administrative or project support role, ideally within the construction, design, or real estate development sector.
Strong organizational skills with the ability to maintain meticulous records and manage multiple tasks efficiently.
Excellent written and verbal communication skills.
Proficiency in using Google Workspace.
Familiarity with permitting processes and documentation in local towns and counties is a strong advantage.
Self-motivated, proactive, and able to work independently as well as part of a team.
Paperwork will often be hand delivered, a drivers license is required.
