Administrative Assistant – Pittsburgh, PA 15219 (4 days per week IN OFFICE; 1 day per week work from home)
- Full-time hire as an employee of the Company with full access to benefits
- Monday – Friday – Daylight – 8:30 a.m. – 5:00 p.m.
- $18.00 - $21.00 per hour as new employee (performance raises available, after hire)
- After hire, additional performance-based increases in compensation can be earned up to $28 per hour
Must have at minimum all of the following:
- High School Diploma or equivalent
- Minimum 1 year work experience in administrative support role - REQUIRED
- Microsoft Office Suite proficiency required
- Proficiency with word processing, e-mail, Outlook calendar functions, Excel Spreadsheets, PowerPoint Presentations, and database software
Purpose of the Position:
Under general supervision, the Administrative Assistant provides varied administrative support to a department, a group of professionals, or multiple departments. Duties for this position include, but are not limited to, entering requisitions into the department’s system(s), scanning, working with various reports, organizing information, and other general clerical support tasks.
Successful candidates will have: minimum of HS Diploma or equivalent (required), Minimum 1 year of administrative experience (required)
Responsibilities:
- Under direct supervision, provides general administrative support to a department or group of professionals.
- Orders office supplies and maintains office equipment.
- Helps supervisor and department prepare presentations (i.e., edits, prints, basic formatting functions).
- Sorts, distributes, prioritizes and composes routine correspondence following established procedures not requiring management review. (i.e., reads correspondence/ highlights important items and sends to supervisor, sends emails sent on behalf of dept head, writes and sends meeting reminders, forwards emails to appropriate distribution list on behalf of department head).
- Performs routine clerical functions, such as copying, sorting, filing, and typing. Sets up and maintains varied office files, logs, and records office activities.
- Assists in researching, drafting, and/or abstracting routine reports. Compiles and analyzes basic information.
- Answers, screens, and routes incoming calls and messages. Responds to routine questions.
- Maintains supervisor’s calendar (i.e., schedules meetings and recurring events, schedules large conference rooms, orders food, ensures applicable equipment is available and ready for meeting, may take meeting minutes).
- Greets, screens, and directs visitors to appropriate staff member.
