We are looking for a detail-oriented and organized Administrative Assistant to provide administrative support to our team. The ideal candidate will be proficient in handling various tasks, ranging from general office duties to assisting with specific projects. This role requires strong communication skills, the ability to multitask effectively, and a proactive approach to problem-solving.

Responsibilities:

  • Scanning and Filing: Manage digital and physical filing systems, ensuring documents are organized and easily accessible.
  • Calendar Management: Schedule appointments, meetings, and events; coordinate travel arrangements as needed.
  • Email and Task Monitoring: Monitor and respond to emails, prioritize tasks, and ensure timely follow-up.
  • Meeting Support: Assist with meeting preparations, including setting up conference calls, arranging catering, and taking meeting minutes.
  • Document Creation: Create and format documents, templates, and reports as required.
  • Research and Support: Conduct research on various topics, assist with project coordination, and provide general administrative support to team members.
  • Vendor and Supplier Management: Research prices, place orders, and maintain relationships with vendors and suppliers.
  • Office Organization: Order office supplies, maintain cleanliness and organization, and assist with office errands and tasks as needed.
  • Communication and Correspondence: Handle incoming calls, greet visitors, and provide professional and courteous communication both internally and externally.
  • Special Projects: Assist with special projects, initiatives, and events as assigned by management.

Requirements

Qualifications:

  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Proven experience in an administrative role or similar capacity.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and accuracy in data entry and document management.
  • Ability to work independently with minimal supervision and as part of a team.
  • Adaptability and willingness to learn new tasks and procedures.
  • Professional demeanor and positive attitude.

Salary: $22-30/hr
