Job Description
POSITION DESCRIPTION
Position: Administrative Assistant
Department: Office of Property Management Administration
Reports To: Executive Director, Steve Belloise
Classification: Non-Exempt
General Description
Provides office administration and project support for divisional personnel.
Specific Duties/ Responsibilities
The following specific responsibilities are representative of duties required in this position. They may be unilaterally but reasonably changed based on the working environment and departmental needs.
• Processes office correspondence and related information.
• Assist with processing of all expense reports.
• Maintains financial databases to monitor progress.
• Prepares invoices for payment.
• Processes calls and requests for helpdesk, environmental, construction & real estate projects.
• Processes confidential information.
• Prepares invoices for payment and maintains electronic database.
• Maintain files.
• Other duties as assigned.
Qualifications/ Skills
• Outstanding organizational, support services, communication and secretarial skills required.
• Must be able to handle multiple task.
• Must be able to maintain confidentiality
• Ability to establish priorities and execute effectively.
• Computer literate with Microsoft Office that includes Word, Excel and PowerPoint.
• Ability to operate office equipment.
• Must work well under pressure and be able to meet deadlines.
• Ability to perform job responsibilities with good judgment and work independently.
• Must have a professional, business presence.
Education and/or Experience
• Certificate from an accredited secretarial school or equivalent in working experience.
• Minimum of three years administrative experience.

Monday - Friday, 8:45 AM - 4:45 PM, with a one-hour unpaid lunch break
35 hours weekly
