is currently hiring an Administrative Assistant - Director of First Impressions. We are seeking a highly organized and personable individual to join our Las Vegas, NV office. As the first point of contact for clients and visitors, you will play a key role in ensuring a professional and welcoming environment. In addition to providing exceptional front-desk service, you will support various administrative functions for assigned management, contributing to the smooth operation of our office.
Here's what you will be doing in the role: Deliver outstanding customer service to clients and visitors both in person and over the phone, creating a positive and professional first impression. Provide comprehensive clerical support to assigned management, including creating and editing correspondence, managing calendars, and organizing meetings or conference calls. Maintain and prepare common areas such as the lobby and conference rooms to ensure a professional appearance at all times. Copy, collate, scan, and file documents, draft Service Agreements, Statements of Work, and process tax returns for clients. Assist in scheduling for tax, assurance, and client accounting and advisory services teams. Collaborate with the Firm Administration team to process and code vendor and client invoices accurately and efficiently. Performs all mail distribution, filing, and stocking office supplies or kitchen items, as needed. Utilize document management systems, such as File Cabinet, and other relevant software for efficient tracking and organization. What you bring to the role:
Education:
High School Diploma or equivalent required; bachelor's degree in accounting or a related field preferred. Experience:
Minimum of 3 years of administrative experience in a professional services firm. Familiarity with tax or accounting concepts preferred. Technical Skills:
Advanced proficiency with Microsoft Office Suite, including SharePoint, Word, Excel, PowerPoint, and Outlook. Experience with Adobe Acrobat and Thomson Reuters CS Suite is preferred. Key Competencies:
Exceptional communication skills with strong grammar, spelling, and punctuation. Superior customer service skills and ability to interact diplomatically with all levels of management and external clients. Strong organizational skills and attention to detail with the ability to manage multiple tasks and deadlines. Demonstrated ability to handle highly confidential information with discretion. Proactive team player with a problem-solving mindset and a commitment to process improvement. Physical Requirements:
Must be able to lift and carry office supplies or packages as needed.
Compensation Information: Individual salaries that are offered to a candidate are determined after consideration of numerous factors including but not limited to the candidate's qualifications, experience, skills, and geography.
