As the Administrative Assistant, you will report directly to the Chief People Officer and support multiple executive leaders and our corporate office and demonstrate an ability to operate in a fast-paced environment and successfully manage multiple priorities and processes. You will bring your ability to anticipate your leaders’ needs and proactively solve problems before they arise. You will demonstrate confidentiality, flexibility, and exceptional time management will be key to keeping things running smoothly.


Primary Responsibilities:

  • Build trusted and effective relationships to advance an organizational culture that lives our purpose, demonstrating a high level of collaboration and accountability
  • Provides administrative support to our corporate team to ensure efficient operation of office administration.
  • Assists with creating or editing presentations, reports, correspondence, and other related documents
  • Answers phone calls, schedules meetings and supports visitors for the corporate office.
  • Carries out administrative duties such as filing, copying, binding, scanning etc. as needed.
  • Supports making travel arrangements at the request of the executive leadership team such as booking flights, cars, and hotel or restaurant reservations.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Maintains office supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies for the office. This includes office supplies, snacks, beverages, etc.
  • Manages incoming and outgoing mail/packages including our online gift card fulfillment to customers’ homes.
  • Supports the coordination of team events for the office team as needed to support the executive leadership team.
  • Will support our corporate team with activities to support our field operations. This includes supporting the retail team with sorting/shipping event and employment anniversary gifts.
  • Will support our corporate team with assembling and shipping of new hire welcome kits and onboarding journals/folders.
  • Will play a support role to coordinate for our annual leadership events.
  • Contributes to team effort by being available as needed to support needs for the executive leadership team and/or corporate office.

Position Requirements:

  • High School diploma or equivalent experience required
  • 2+ years of administrative experience or similar experience using Microsoft Office, especially Outlook, Word, and PowerPoint

While performing the duties of this position, incumbents may be required to do all or some of the following, with or without accommodation:

  • Move, lift, carry, push, pull, and place objects weighing 10-15 pounds
  • Speak with others in person or on the phone using clear and professional language
  • Move up and down stairs, service ramps, and/or ladders
  • Reach overhead and below the knees, including bending, twisting, pulling, and stooping
  • Review documents, computer monitors or displays with potentially small print
  • Operate a computer, phone and other common office tools or controls
  • Mentally focus on tasks and apply sound reasoning and judgement

  • Strong written and verbal communication skills with the ability to effectively present ideas and deliverables to internal stakeholders, external suppliers, vendors, or other entities
