Position Overview:
We are currently seeking an experienced Executive Administrative Assistant to join our team. The ideal candidate will be a highly organized, detail-oriented, and self-motivated individual with excellent communication and interpersonal skills. The Executive Administrative Assistant will provide administrative support to our executive team and play a critical role in the smooth operation of our business.
Key Responsibilities:
- Manage and maintain executive schedules, including arranging meetings, conference calls, and travel arrangements
- Prepare and edit correspondence, reports, and presentations
- Act as the first point of contact for the executive team, screening and prioritizing incoming calls and emails
- Coordinate and organize internal and external meetings and events
- Prepare and distribute meeting agendas, minutes, and follow-up actions
- Assist with the preparation of proposals, contracts, and other business documents
- Conduct research and gather data for various projects and initiatives
- Manage and maintain confidential files and records
- Handle incoming and outgoing mail and packages
- Perform general office duties such as ordering supplies and maintaining office equipment
- Other duties as assigned by the executive team
Qualifications:
- Minimum of 3 years of experience as an executive administrative assistant or similar role
- Bachelor's degree in Business Administration or related field preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite and other relevant software
- Ability to handle multiple tasks and prioritize effectively
- Proven ability to maintain confidentiality and exercise discretion
- Professional and friendly demeanor
- Ability to work independently and as part of a team
- Strong attention to detail and accuracy
Contract Details:
This is a full-time, permanent position based in Geneva, NY. The working hours are Monday to Friday, 9:00 am to 5:00 pm. We offer a competitive salary and benefits package.
