Administrative Assistant (Operations and HR) (Chicago)
Reports To: Director of Operations and dotted line Human Resources
Direct Reports: None
FLSA Status: Non-Exempt
Employment Type: Full Time
Position Overview: The Administrative Assistant will work to support the Operations and HR teams with a multitude of projects and administrative tasks.
Essential Job Functions:
· Perform receptionist duties such as distributing mail and greeting and assisting guests, assist HR team with uploading documents, tracking training, light phone calls, etc.
· First point of contact for employees with questions or needs.
· File maintenance and organization.
· Assist with scheduling sewing assessments, prepare sewing certificates and training evaluations.
· Assist with payroll including scanning tickets, reviewing timecards, etc.
· Prepare applicant packets and training materials, update internal postings and communications.
· Track employee referral bonuses
· Assist with planning and organizing company events (annual picnic, quarterly employee meetings), misc. administrative duties.
· Research other avenues to attract candidates and connect with community organizations to broaden the organizations footprint in the market.
· Data entry duties for Operations team.
· Ability to work within a multi-cultural workforce with multiple languages being spoken (primarily Cantonese, Spanish, and English).
Non-Essential Job Functions:
· Other duties as assigned.
Training: Provided on the job.
Qualifications:
High School Diploma or GED required.
Minimum 1-year of experience in similar position. Prior manufacturing experience preferred but not necessary. Bilingual in Cantonese or Spanish is a plus.
