Job Description:

As a Legal Administrative Assistant, you will be responsible for delivering top-tier support to a team of legal professionals. This role involves managing administrative tasks, ensuring smooth communication with clients and stakeholders, and overseeing billing and project management processes. Your ability to prioritize tasks and handle confidential information with discretion will be essential for success.

Key Responsibilities:

  • Foster open communication within the team, ensuring smooth operations and first-class support.
  • Provide excellent service to internal and external clients, maintaining a positive and proactive attitude.
  • Manage conflicting priorities, handling confidential matters efficiently, and streamline workflow processes.
  • Support timekeeping and billing processes by managing diaries, preparing draft entries, and coordinating invoice reviews.
  • Arrange and coordinate meetings, travel, and logistics for team members.
  • Delegate non-billable tasks to administrative staff, allowing lawyers to focus on their core responsibilities.
  • Manage multiple calendars across different clients, teams, and time zones.

Qualifications:

  • College degree or equivalent experience preferred.
  • 4-5+ years of supporting attorneys within the legal industry.
  • Expertise in MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills, with an ability to manage multiple tasks and priorities effectively.
  • Exceptional interpersonal and communication skills.
  • A proactive problem-solver with strong decision-making capabilities.
