Job Summary:

 The Executive Assistant will provide high-level administrative support for a principal of HHNT. You will be accountable to the Office Manager and the President of the company.  You will perform, support, and coordinate various assignments as directed by the company. You will be expected to work on teams to accomplish company goals. Responsible for confidential and time sensitive material. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have relevant experience and be able to communicate effectively and work with all levels of the company. You must also be well organized and effective in producing assigned responsibilities.

 

Responsibilities may include:

·         Executive support assistance to engineering and science technical staff

·         Developing and maintaining spreadsheets/charts

·         Maintaining and coordinating calendar, including scheduling of appointments and meetings

·         Supporting all logistic details for in-house and off-site meetings

·         Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items

·         Ensure file organization based on office protocol

·         Greet and assist onsite guests

·         Answer inbound calls

·         Handle incoming and outgoing communications, including emails, phone calls, mail and Fed Ex

·         Attention to detail composing, typing and proofing materials including technical reports and zoning applications, establishing priorities               and meeting deadlines

·         Build and maintain positive relationships with clients, partners, and other stakeholders

·         Handle sensitive information with the utmost confidentiality and discretion
