  • Administrative Support: Manage and organize calendars, schedule appointments, and coordinate meetings.
  • Communication Management: Handle correspondence and prioritize communications with a high level of professionalism and confidentiality.
  • Meeting and Event Planning: Organize and manage meetings and events, including scheduling, sending reminders, preparing agendas and documents, and arrange for catering when necessary
  • Travel Planning and Coordination: Plan and organize domestic and international travel, including flights, accommodations, and itineraries.
  • Office and Facilities Management: Oversee and coordinate office organization, filing, supplies, vendor and service management as needed; greet and host visitors
  • Records Management and Bookkeeping: Maintain comprehensive and accurate records on behalf of executives; perform minor bookkeeping/accounting duties, including invoice payment, preparation of standard Journal entries, and bank account reconciliations.
  • Personal Errands: Perform a variety of personal errands, including shopping, running errands, managing personal projects as needed.
  • Confidentiality: Maintain the highest level of confidentiality regarding all business and personal matters.
Requirements:
  • 3-5 years of relevant experience as an executive assistant, personal assistant or similar role; proven ability to anticipate and exceed needs with minimal direction
  • Exceptional organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office suite and ability to learn and adapt to new technology; familiarity with DialPad is a plus
  • Willingness to work flexible hours and adapt to emerging priorities and needs
